TheConference Services Assistant ensures the highest standards of customer serviceand client experience by supporting the Conference Services team in theexecution of events and the operational excellence of The Lincoln Center

General Duties and Responsibilities:
Thefollowing duties and responsibilities are illustrative of the primary functionsof this position and are not intended to be all inclusive:
  • Assist the Conference Services Coordinator, as directed, to ensure the highest level of customer service and satisfaction to clients renting the Lincoln Center and their guests.
  • Assist the Conference Services Coordinator in tracking and logging vendor approval paperwork.
  • Manage "Day of Event" details and facilitate event timelines in collaboration with event vendors.
  • Regularly inspect the building for damage/needed repairs and report problems to Facility Services Coordinator.
  • Track inventory of Conference Services equipment, making repairs as necessary, and reporting deficiencies or needed purchases to the Conference Services Coordinator.
  • Supervision of the Concierge Desk, maintenance of lost & found inventory and 30
  • day disposal.
  • Ensure facility and grounds security.
  • Open and close facility as needed using established protocols.
  • Record event information for billing purposes while ensuring rate and policy compliance.
  • Assist the Conference Services Coordinator in facilitating events and producing room set
  • up diagrams; provide information and guidance to customers.
  • As needed, work in the capacity of Events Concierge and/or Facility Attendant to ensure completion of tasks and events.
  • Assist the Conference Services Coordinator in training and maintaining updated resources and information for hourly staff.
  • Anticipate challenges, identify solutions, and project consequences of proposed actions and implement recommendations in support of organizational & operational objectives.
  • Required to work evenings, late nights, and weekends.
  • Assist Event Operations leadership, including but not limited to Event Operations Manager, Facility Services Coordinator, Events
  • Coordinator and/or Scheduling Coordinator with other duties and special projects as assigned.

Supervisory Responsibilities:
This position is not responsible for the supervision of employees.

Education and Experience:

  • Highschool diploma or general education degree (GED) required.
  • Current CMP certification and/ordegree in hospitality management preferred, two to four years ofincreasingly responsible event management or customer service experienceor an equivalent combination ofeducation and experience.
Preferred advanced technical knowledge ofaudio/visual/multimedia presentation equipment.

Handling Certification Physical Demands:

While performing the duties ofthis job, the employee is regularly required to traverse distances; work in astationary position while sitting or standing; and using hands to reach orgrasp.

The employee is occasionally required to stand, ascend/descend, orbalance at a height up to 20ft.; and stoop, kneel, crouch, or crawl, which mayrequire work on the floor or in tight spaces.

The employee must be able to lift50lbs. and push/pull up to 150lbs. as needed.

Traversinglong distances, on a multi-level building using stairs, corridors, orelevators.
Physical/Laborintensive work for up to 8 hours at a time.

Manualdexterity enough to operate equipment and tools including ability tocontinually traverse distances and frequently, bend, twist, kneel, stoop,reach, pull and push.

Strength andstamina enough to operate equipment, move objects up to 50 pounds andbend, twist, stoop and reach above head in the performance ofduties.

Push wheeled items up to 150 lbs.
Visionenough to operate equipment and distinguish between items on written &electronic means of communication.
Make continuousor repetitive arm-hand movements including tasks requiring a full range ofmotion to reach up and out.
Communicationskills enough to interpret work schedules, job duties and conveyinformation to the public and supervisor.

Working Environment:
Work isperformed in a multi-use performing arts and conference facility that has a dynamicand changing event and activity schedule.

The employee will be asked to workvariable hours including early morning, afternoon, evening, and late-nightshifts during the week, weekends, and some holidays.

Employees will be asked towork alone or as an unsupervised team. The noise level in the work environmentis usually moderate.
