Assistant, Special Events (Part-Time Casual)

The Natural History Museum of Los Angeles County was the first museum in L.A. to open its doors 107 years ago and is poised for an exciting new era as it plans for the future. Having recently completed a new strategic framework, the Natural History Museums of Los Angeles County—including NHM at Exposition Park, La Brea Tar Pits and museum in mid-Wilshire, and the William S. Hart Museum in Newhall—is looking forward to new building projects and campaigns, exhibitions, community outreach, and innovative audience engagement.

The Natural History Museum of Los Angeles County is seeking an Assistant, Special Events and Filming for our Advancement department. The Assistant, Special Events and Filming will act as a representative of the Museum and the Special Events and Filming department by providing outstanding customer service support for a variety of events. Events at the museum will include, but not limited to, third party rentals, sleepovers, internal Marketing & Communications and Advancement events (both onsite and offsite), and filming by creating a friendly, welcoming, and informative environment for all Museum clients, guests, vendors, and staff. It is an exciting time as we embark on new journeys of becoming a museum of, for, and with L.A.

Responsibilities for this position include, but are not limited to:
  1. Assists the Special Events & Filming Department with the setup and execution of events and filmings from load-in to load-out, inclusive of preparation and cleanup.
  2. Communicates and coordinates with the client's event planner and vendors as to how and when to load-in and load-out before and after the event. Ensures each vendor adheres to the Museums' policies and is treated with outstanding customer service.
  3. Ensures that event spaces are prepared as listed on the work order and are operational for guest arrival – inclusive of lighting, AV, and system operations. Communicates any changes or last minute requests to all related parties.
  4. Oversees load-out and cleanup, including supervision of all event staff, inclusive of other departments, division, and contracted vendors. At the conclusion of load-out, performs a final walkthrough with the client and vendors to ensure all event spaces are clear of equipment and trash.
  5. Schedules meetings on the Museum Master Calendars as appropriate and provides logistical support for meetings including registration, refreshments, and audio-visual equipment. Arranges for parking for external guests, greets guests at the Museum's entrance, and escorts them to the division.
This position has the following requirements:
  • Two or more years course work toward a college degree or related work experience. Two or more years customer service experience
  • High school diploma, GED or equivalent required
  • Must be able to work weekends, including Fridays, evenings and holidays and be willing to work at any of the Natural History Family of Museums
  • Demonstrated ability to work with others on teams, across an organization and external audiences; ability to collaborate effectively with all levels within an organization
  • Must act with integrity and possess the ability to carry oneself with a professional demeanor and decorum especially in high stress or high pressure situations
  • Strong communications and organizational skills; must be able to communicate clearly on written documents
  • Problem solving abilities, including the ability to solve problems and use judgment to make decisions under pressure and on the spot
  • Ability to self-analyze own work for reflection and future improvements
  • Experience using a personal computer and knowledge of a variety of office software, including MS Office, Google Suite, and Outlook.
  • A valid California Driver License and a Personal Automobile Liability Insurance or the ability to utilize an alternative method of transportation needed to carry out job-related essential functions.
  • Must be able to lead children in activities in an educational environment.
