We are looking for a Clinic Operations Manager


Zion Restoration Counseling Services is an established and collaborative Wellness Clinic in Fairfax, VA and we are seeking a high-energy, well organized, and detail-oriented individual who works effectively in a busy office environment.

The individual must be confident and skilled in management, including a track record in building relationships, This role requires a strong person who can maintain a positive and productive work environment while addressing issues professionally and effectively

This position is an in-office position
with a schedule of Monday thru Friday, 10-6

Responsibilities include:

  • Manage and oversee staff, including conducting difficult conversations.
  • Promote clinic services and providers to achieve monthly conversion targets.
  • Schedule clients and enter information into the EHR system.
  • Collaborate with administrative staff to ensure efficient clinic workflow and systems.
  • Assist in designing backoffice systems, file auditing, SOPs, and other administrative tasks.
  • Manage client information and accounts on scheduling platforms.
  • Oversee provider schedules and monitor their productivity.
  • Conduct productivity conversations with providers not meeting targets.
  • Audit client charts to ensure completion of necessary documents.
  • Prioritize daily workload to deliver highquality results and meet performance targets.
  • Provide professional and engaging interactions to create positive experiences for clients and coworkers.
  • Manage and resolve client concerns and complaints, demonstrating effective problemsolving skills, and collect and distribute client feedback about services and provider experiences.
  • Manage client accounts, collect fees, and enter insurance reimbursement payments.
  • Review financial reports regularly.
  • Assist in marketing the clinic online and at events, including locating and coordinating community events and attending them occasionally.
  • Attend meetings, training courses, and other learning and development opportunities as required.

  • Assist in marketing our brand online and at events, locating and coordinating community events, and attending events occasionally.
  • Attending meetings, training courses, and other learning and development opportunities as made available and/or required.

Qualifications

  • Degree in Business Administration, Human Resources, or other related program (preferred); HS Diploma (required)
  • 2+ years experience in sales and administration support, private practice, wellness center or similar office management roles (preferred)
