ACCOUNTS PAYABLE SUPERVISOR

JOB SUMMARY:
The Accounts Payable (AP) Supervisor is responsible for the day-to-day AP operations for The Aleut Corporation (Aleut). This includes supervising, directing, coordinating and reviewing work activities and work products. The AP Supervisor will supervise the AP team, direct the processing of invoices and payments, and manage expenses.

PRIMARY RESPONSIBILITIES

  • Establish procedures and guidelines to ensure the risk of theft and fraud are mitigated.
  • Monitor data through audit reports and testing to ensure internal control procedures are effective.
  • Audit invoices against purchase orders, research discrepancies, and process for payment.
  • Investigate and resolve unidentified deductions, credit balances, cash application issues, disputed items, return items or any other customer or vendor grievances.
  • Prepare monthly closing activities, including credit card reconciliation.
  • Prepare month-end reports.
  • Guides, supervises, trains and coordinates with AP Specialist(s).
  • Establish procedures and guidelines for accounts payable including appropriate internal controls and applicable state and federal regulations.
  • Prepare and process electronic transfers and payments, prepares and performs check runs, and reconciles accounts payable transactions.
  • Review and verify invoices and check requests and ensure timely and accurate payment to vendors, contractors and any other expenses or reimbursements and ensure that all invoices have the appropriate documentation and approval prior to payment within company guidelines.
  • Sort, code, and match invoices, and enter and upload invoices into Aleut's financial system.
  • Work as a team member with flexibility and adaptability.
  • Perform all other duties as assigned.

  • Ability to make decisions, solve problems, and take initiative to improve processes and procedures.
  • Strong communication, summarization, and presentation skills between diverse audiences.
  • Ability to work independently with minimal supervision.
  • Excellent interpersonal skills with the ability to work with the leadership team, managers, co-workers, and outside contacts.
  • Excellent oral and written communication skills utilizing proper grammar, spelling, editing, and proofreading.
  • High level of organization with the ability to prioritize and manage multiple projects and deadlines.
  • Knowledge of Aleut, its subsidiaries, non-profits, and resources within the region.
  • Maintain a high degree of confidentiality, integrity, and tact in dealing with sensitive information.
  • Possess and demonstrate cultural awareness and sensitivity.
  • Possess strong analytical skills to review, evaluate, and synthesize information.
  • Proficient in Adobe and MS Office Programs including Excel, Word, Power Point, SharePoint, and Outlook.

MINIMUM QUALIFICATIONS

  • Five (5) years of related experience in Accounts Payable with one (1) year experience as a supervisor/manager.
  • Experience with Deltek Costpoint.

PREFERRED QUALIFICATIONS

  • Degree in accounting or related field.
  • Experience at Alaska Native Corporations.
  • Knowledge and experience with JIRA and Salesforce

PHYSICAL DEMANDS

  • General office demands.
  • Must have ability to maintain assigned work hours in a 40+ work hour environment.
