Front Desk Coordinator with AIS Infrastructure

GENERAL POSITION SUMMARY

The Front Desk Coordinator performs routine clerical, office, and administrative work in answering telephones, receiving the public, providing customer assistance, data processing, and record-keeping. Provides general office support with a variety of clerical activities and related tasks. The Front Desk Coordinator will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

MAJOR DUTIES & RESPONSIBILITIES

  • Develops and maintains office forms and procedures and assists with administrative tasks.
  • Answers central telephone system and directs calls accordingly.
  • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, clients, and vendors and refers, when necessary, to the appropriate person, official or department
  • Operates listed office machines as required.
  • Prepares outgoing mail; sorts and distributes incoming mail.
  • Duplicates and distributes materials.
  • Composes, types and edits correspondence, reports, memoranda, and other material
  • Assists the public with the use of department facilities.
  • Maintains office and break room supply inventory.
  • Receives, sorts and forwards' incoming mail.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Maintain a neat and organized front desk area.

EDUCATION, KNOWLEDGE, SKILLS & ABILITIES

  • High School or equivalent (Preferred)
  • One year of administrative experience or related experience
  • Bi-lingual English/Spanish (Preferred)
  • Excellent interpersonal and communication skills
  • Strong organizational skills with attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to multitask and prioritize responsibilities effectively.
  • Professional and friendly demeanor

HISTORY
