The Highlights: Reporting to the Associate Dean for Scheduling & Curriculum, the Associate Director for Graduate Student Services comprises the graduate student advising division of the Liberal Arts and Social Sciences Academic and Advising Services Office. Primary responsibilities in this regard include: Advise and support current graduate students; orient and advise new graduate students; collaborate with Graduate Admissions on new student recruitment strategies; advise undergraduate students seeking graduate degrees; collaborate with Enrollment Management on current student retention strategies; organize the annual Graduate Student Conference; serve as an ex officio member of the LAS Graduate Directors Council. On behalf of the College of LAS as a whole, serve as the Commencement Ceremony Coordinator. 


What You'll Do:

  • Advise current graduate students (degree- and non-degree seeking) with orientation, registration, program requirements, DPR updating, BlueStar monitoring, tracking progress to degree, readmission and reclassification, policy and procedure implementation, awarding of graduate assistantships and tuition waivers, and graduation; advise current undergraduate students on graduate study options in LAS.
  • Coordinate the initial set-up and communication about GA positions within various units, training grad directors on these processes. This includes coordinating meetings between the academic unit, grad admissions and Financial Aid, working with the Business Manager and Financial Aid to set up the scholarship connect application, solidifying a process and dates with the academic unit and grad admissions, ensuring that written communication to the student is vetted through grad admissions and contains pertinent financial aid information and being a liaison between the parties to finalize the process and timeline.  Track, manage and monitor tuition waiver budget of 1.5M.
  • Collaborate with Graduate Admission, Enrollment Management, and LAS Program Directors on strategies to improve admission and retention rates. Provide guidance and training to faculty serving as graduate advisors.  
  • Coordinate the LAS portion of the annual Commencement Ceremony. 
  • Oversee communication vehicles (social media, guides, website); coordinate the annual Graduate Student Conference. 
  • Membership on College and University governance organizations: Act as the staff advisor to the Graduate Student Council. Serve on the Graduate Directors Council. Serve on the University Commencement Committee. Serve on the University Registrar's DPR Committee. Act as ombudsperson for College graduate students in collaboration with the Dean of Students Office.  Represent the Graduate Office at admission recruiting events.
  • Student Assistant management - oversees work on social media/website, work on the Graduate Student Council, and office responsibilities.
  • Administers and manages the graduate assistantship budget of $1.5 million.
     

What You'll Need:

  • Master's degree preferred with 5 years of advising and/or administrative experience at a university.  
  • A background in records, budget and financial experience, student advising and coordination of event planning is helpful.  
  • Knowledge of the current modes and issues of graduate education
  • Ability to work independently and as part of a group
  • Excellent oral and written communication skills
  • Excellent organizational skills
  • Ability to communicate with a diverse mix of internal and external constituencies
  • Proficient with MS Office, PeopleSoft, and social media
  • Ability to demonstrate a very strong attention to detail
  • Ability to work with  program directors and chairs from a range of different and diverse programs.
  • Strong understanding of graduation requirements and collaboration with records team.
  • Some evening and weekend hours required
