Kenyon College is conducting a search for a qualified candidate to fill the position of Operations Manager in the Bookstore. This is a full-time position that reports to the General Manager. The Operations Manager is a member of the Bookstore Management Team, and ensures accurate accounting and the smooth operations of the selling and non-selling spaces of the Bookstore.
Primary Duties
- Secure and handle all cash and electronic forms of payment.
- Ensure timely bank deposits and maintain adequate cash on hand.
- Assign account numbers for accounting transactions (sales, invoices, receipts).
- Manage all information technology and oversee security of data.
- With input from General Manager, assign staff security codes for levels of authority.
- Purchase all supplies for Bookstore use according to budget.
- Hire, train, supervise and make employment decisions regarding Student Workers.
- Correct on-hand quantities.
- Acknowledge any unacceptable behavior of Customer Service Associates and Buyers with the General Manager.
- Offer constructive feedback to General Manager regarding improving the Bookstore.
Responsibilities
- Handle daily accounting of sales, including bank deposits, credit card processing, and student card transactions.
- Maintain and support hardware and software applications, and ensure proper systems back-up.
- Create, publish and maintain staff schedules as well as processes payroll.
- Assign security clearance with new hires.
- Coordinate with Buyers to ensure timely processing of shipments.
- Establish and maintain proper supplies for store use.
- Oversee all fulfillment of online and mail orders and other customer shipments.
- Manage accounting of bookstore income and expenses and produce reports as requested by General Manager.
- Alert General Manager of any problems, including but not limited to cash over/short, expenses over budget, systems issues, improper use by staff of Bookstore resources.
- Work with Buyers on scheduling vendor returns; and ensure timely credit on vendor accounts.
- Schedule and oversee physical inventory.
- Monitor inventory shrinkage and offer suggestions for loss prevention.
- Oversee staff lounge, backstock and storage areas ensuring safe working conditions, organized spaces, and proper disposal of materials.
- Manage buying of information technology products.
- Train front-line staff on new software applications.
- Attend and actively participate in Management and Staff meetings.

- Understanding of the budgeting process and ability to read and understand financial statements.
- Ability to create and work within the limits of a budget.
- Ability to learn about upgrades and improvements in information technology as it relates to systems valuable to the Bookstore.
- Ability to discern proper levels of security for Bookstore staff.
- Ability to detect and troubleshoot problems.
- Ability to assist in training other Bookstore staff as may be required.
- Ability to recruit, hire, train and supervise Student Workers.
- Interest in and ability to secure orderly, productive and safe work areas.
- Ability to schedule, organize, and train staff for accurate physical inventory.
- Ability to professionally interact with campus personnel.
- Handle all building maintenance issues and facilities needs.
- Willingness to support the General Manager as needed.
