We are looking for an Executive Assistant to support our Undersea Warfighting Development Center (UWDC) as the Executive Assistant to the Deputy Commander, a Senior Executive Service Government civilian, at UWDC Groton. Additionally, assist in the administration of the Government civilian personnel program for UWDC Groton, CT.
Responsibilities:
- Serves as the Executive Assistant (EA) to the UWDC Deputy Commander.
- The incumbent is delegated significant authority to interact with a wide range of officials of high rank at headquarters and other DoN activities.
- Screens calls, visitors, appointments, schedules, meetings, and special requests for the Deputy Commander.
- Serve as the UWDC Groton Front Office Manager.
- Assists with travel arrangements and other administrative requirements of the Front Office.
- Develops executive correspondence, documents, and presentations, in various formats and forums. Ensures pertinent background material and references are attached when submitted.
- Acts as command Non-DTS Entry Agent (NDEA).
- Assists Approving Authority with inputting corrections and updates for all travelers across UWDC enterprise.
- Assists in the planning, logistics, and set-up of command-sponsored events.
- Assists in the coordination and scheduling of all UWDC meeting spaces.
- Coordinates, schedules, and troubleshoots PolyCom computers for UWDC Groton.
- Performs various administrative tasks to include editing and updating documents, tracking
- and updating awards and FITREPS, and other duties as requested by Admin LDO and Admin LCPO.
- As support for civilian personnel, assists with Liaison between HQ and Groton management, HRO, and OCHR Operations Centers.
- Initiates and tracks DoN Requests for Personnel Action (RPAs), to include hiring, awards, retiring/separating, and position changes.
- Review and verify information on all Requests for Personnel Actions (SF-52), and amendments to PDs.
- Works with hiring manager and immediate supervisor to prepare and submit hiring packages, which may consist of: Statements of Work (SOWs), OF-8s, Positions, Description Records (PDRs), Organizational Charts, and High-Grade Package forms.
- Ensures that all hiring packages are in appropriate format for efficient processing by OCHR and HRO.
- Supports command hiring and selection officials to provide applicable candidate information for selection boards.
- Assists selection officials and managers, and coordinates with command Security Managers, Drug Free Workplace Program Coordinators, and Fleet HRO to ensure smooth hiring and on-boarding process.
- Responds to data calls from HHQ for furlough, sequestration, telework, etc.
- Maintains position hierarchy within MyBiz and coordinates command access to MyBiz.
- Uses automated tools such as DCPDS, TWMS and HR Link to pull reports to develop responses to data calls from within and outside UWDC.
- Provides guidance to employees or coordinates with SUBLANT N1D/N1CP/HRO to provide information to employees as requested.
- Creates and maintains command's organizational charts.

- Three years administrative support of military or government civilian member of the US Navy.
- Experience must be recent, within the last two years.
- Familiarity with Navy and Department of Defense (DoD) administrative procedures.
- Familiarity with Navy and DoD travel, Defense Travel System, databases for scheduling and booking travel, and travel procedures and restrictions
- Two years demonstrated familiarity with scheduling and operating SVTC meetings after SVTC technician has set equipment up.
- Exceptional knowledge of Navy regulations, notices, and instructions.
- Demonstrated ability to find information from Navy documents and correspondence procedures.
- Must understand how to navigate the different Navy command web sites.
- Required to have an associate degree in humanities, sciences, or social sciences.
- Bachelor’s degree is a plus.
- Must, with a high degree of tact and diplomacy, be able to extensively coordinate and communicate with military commands during odd hours and at remote locations.
- Demonstrated knowledge in Information Technology systems/applications such as Word, Excel, and PowerPoint.
- Desire minimum of 40 words per minute key board skills.
- Must have exceptional skill in effectively communicating issues that may have controversial findings, using language appropriate to the Deputy or his visitors, facilitating their decision making.
- Must be able to travel domestically in an auto. Must have a driver’s license or able to obtain a valid state driver’s license.
- Must be able to travel by air on commercial or military aircraft to domestic and overseas locations occasionally and without assistance.
- Must be able to stand for extended periods of time without undue assistance.
- Must be a US citizen and be able to obtain and maintain a US Passport.
- Work location is primarily at UWDC in Groton, CT no relocation is funded.
- Applicant selected will be subject to government security investigation, must be able to gain and maintain a Secret DoD security clearance, and must meet and maintain eligibility requirements to access classified information.
