The University of Washington School of Medicine (SoM) is nationally and internationally recognized for excellent programs in clinical care, teaching, and research activities. The SoM is comprised of 32 basic science and clinical departments and has over $2.2 billion in revenue and annual expenses in support of its research, educational and clinical activities, and programs. The SoM has a total enrollment of over 1,100 medical students, 1,500 students pursuing the Doctor of Medicine degree, 2,700 full time faculty members and over 4,000 staff.

The SoM is part of UW Medicine which operates or manages the following organizations dedicated to patient care, medical education, and research: Airlift Northwest, Harborview Medical Center, UW Medical Center – Montlake, UW Medical Center – Northwest, UW Neighborhood Clinics, UW Physicians, UW School of Medicine, and Valley Medical Center. UW Medicine shares in the ownership and governance of the Seattle Cancer Care Alliance and in the ownership of Children’s University Medical Group. UW Medicine also has strong affiliations with Fred Hutchinson Cancer Research Center, Seattle Children’s, VA Puget Sound Health Care System and Boise VA Medical Center. The School of Medicine Dean’s Office has an outstanding opportunity for a Director of Financial Support Services.

Under the general guidance of the School of Medicine Senior Director of Finance, the Director of Financial Support Services (Director) has senior management responsibility for a wide range of School of Medicine (SoM) Dean’s Office operations, including financial analysis/management, budget to actual performance review, and other important financial functions residing in the Dean’s Office and across the SoM.

Job Characteristics

The Director works with the department vice chairs, directors, administrators and dean's office staff providing guidance, background information, and management advice. Subject to direction from the Senior Director of Finance, the  Director has decision-making authority, and must exercise prudent judgment when establishing commitments or authorizing commitment payments, contracting or invoicing WWAMI states, invoicing practice plans, approving state line payments, while ensuring strict compliance to University, federal government, State, physician practice group {University of Washington Physician's (UWP) and Children's University Medical Group (CUMG)} and closely affiliated institutions policies and procedures. The Director is the primary working-level interface with the SoM departments, University units (FPB), UWP, CUMG, and closely affiliated institutions regarding financial transactions and purchasing policy and practice. This position assists the Dean, the Vice Dean for Administration and Finance (Vice Dean), the Chief Financial Officer for Finance and Administration, and the Senior Director of Finance on complex financial issues, requiring in-depth knowledge of University, School, practice plan, and closely affiliated institution policies and procedures. The Director will delegate to and supervise the activities of subordinate professional or classified staff to facilitate the execution of these responsibilities.

Duties and Responsibilities

The Director reports to the School's Senior Director of Finance and serves as a senior administrator representing the Dean's Office in various capacities. The position oversees Financial Support Services within Finance Operations.

This area supports operations within the Dean's Office as well as between the Dean's Office and Academic Departments or Affiliated Institutions.

Representative elements of the Director's duties and responsibilities include the following:

Oversee Dean’s Office Financial Interactions with Academic Departments and Affiliated Institutions (40%):

• Commitment database: this is an Access database that tracks all commitments from the Dean to the departments as well as from the Provost to the School of Medicine.

• Commitment report: quarterly production of budget vs. actual for all Deans Office commitments to departments.

• Gift and endowment database: this tracks all gifts, endowments, and operating accounts within the Dean's office as well as within the departments.

• Payments between Dean's Office and Departments and Affiliated Institutions.

• State line history and management: managing all the tenured state lines within the Dean's office and the departments. Developing and maintaining histories on the state lines.

• Salary increase process and State lines: the state lines of departments and the Dean's office must be tracked during salary increase process. The lines must be tracked with an internal Access database during the year as well as during the salary increase process.

• Management of funds transfers between the practice plans and the departments or Dean's Office.

• Management of Institutional support which includes transfers between the Affiliate hospitals (UWMC / HMC / SCCA I SCH) and the practice plans and departments and clinical contracts.

• Capital Projects: work with Department, SoM Facilities unit, and the University's central offices to facilitate funding of capital projects

Oversee Internal Dean’s Office Financial Transactions (35%):

• Provide policy and operational direction to the Dean's Office accounting functions.

• Financial tracking and reconciliation of internal Dean’s Office finances.

• Manage the activities of the Dean's Office operations including purchasing, travel, procurement card, grants and contract administration and equipment inventory.

• Manage the Dean’s Office accounting operations function, ensuring that practices comply with University requirements. Provide for staff training and development plans to ensure that SoM financial personnel operate in compliance with required policies and procedures.

Manage Reporting and Contracts for WWAMI (15%):

• Support the regional locations with information related to legislative process in each of the 5 WWAMI states.

• Annual invoicing and collection for WWAMI support for the Medical School and related completion of inflation study per WWAMI contracts.

• Preparation of the annual fact books.

Other Duties (10%):

• Assist in the financial reporting and budgeting process.

• Participate in annual fiscal year end close for the School of Medicine.

• Miscellaneous projects as assigned.

Minimum Requirements

• Master’s degree in accounting or related field and three years of experience in full scope accounting, including use of data analysis tools.

• Demonstrated proficiency with Microsoft Excel including the ability to design, build, document and maintain complex workbooks in a user-friendly, intuitive, and logical manner.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired Requirements

• Five years of related experience.

• Experience in public accounting.

• CPA license or demonstrated progress toward CPA designation.
