Some of the duties below incldue: 

Assist Sales managers with all administrative support work.

Assist the Director of Sales & Marketing with any administrative support work.

Answering of Sales Office and Executive Office phones throughout the day.

Customer Service: Prepared to answer questions, email information, attention to the small or immediate needs in the absence of the Planners or Director.

Blocking space and creating event orders for all in House Meetings, notification, and follow up to Departments.

Attend the Weekly Management Meetings, type minutes and send to GM within a 24-hour window, to upload to corporate site.

Distributing departmental mail, logging checks and ensuring all mail is received properly.

Assist in creating different promotional material for both guests and employee functions.

Maintain information folders as according to OTH (Our Town Hospitality) SOPs.

Updating Client information.

Handle any special mailing projects.

Create all Resume packets and Staff meeting packets prior to the start times.

Send out all MPSI surveys to past clients.

QUALIFICATIONS: EDUCATION, KNOWLEDGE, TRAINING, & WORK EXPERIENCE:

Recent Hilton Hotel experience in either Sales & Catering, Front Office or Accounting. College Degree Preferred. High School Graduate or Equivalent. Knowledge of a hotel structure and how all departments interact. Proficient in Computer Use. Knowledge of the Hilton OnQ PMS and/or PEP system a plus. Skilled at working with Microsoft Excel, Microsoft Word, Microsoft PowerPoint, Microsoft Outlook. Must be able to analyze data and communicate effectively with peers and superiors in a positive manner. Ability to listen, speak and write English to ascertain and respond to client needs.
