SUMMARY:

The Program Coordinator provides coordination assistance and support to the Program Management Team/MSP through direct engagement with Client Managers/Key Personnel for order management, candidate submission, vendor management system tool management and reporting/analytics and helps to coordinate escalations as appropriate. This position requires strong customer service skills and regular interaction with hiring managers, and other suppliers as needed.

RESPONSIBILITIES:

  • Responsible for all projects assigned to team and help meet established schedules and resolve technical or operational problems.
  • Assists in meeting or exceeding defined service level metrics
  • Coordinate meetings and interviews
  • Respond to all program inquiries (calls, emails, VMS alerts) and provide timely and professional responses
  • Assist with SOW VMS record creation and data maintenance on various client user’s (as program applicable) or as instructed by RE program management.
  • Understand SOW VMS functionality and dependencies, enabling navigational support for client users and recognition of functional issues.
  • Monitor SOW requisition activity, check accuracy, and provide updates to client users through use of VMS technology.
  • View VMS pending workflow items, alert owners of needed actions, and provide system user navigation instruction if required.
  • Participates in special projects and performs other duties as assigned.

EDUCATION & JOB REQUIREMENTS:

  • High School Diploma required, Bachelors degree preferred
  • Proficient with Microsoft Office and Google tools including Google Docs, Sheets, Slides, Word, Excel, PowerPoint, Outlook
  • Experience using VMS software tools (VNDLY experience preferred)
  • Experience within an MSP environment or service procurement experience and where applicable, a proven track record measured by customer service levels and satisfaction, improved costs and value, increased responsibilities, and working relationships with colleagues and management.
  • Strong customer focus and customer service skills
  • Strong communication and organizational skills
  • Possess strong interpersonal skills and demonstrated ability to analyze, explain, and draw logical conclusions from complex operational, financial, regulatory and/or business data
  • Experience describing and documenting specific requirements
  • Must be detail oriented with a concern for quality expressed by continually initiating system and process improvements
  • Excellent calendar management skills
