We're looking for a Construction Office Manager who knows how to keep the field and office connected and running like a well-oiled machine. If you thrive in a fast-paced environment, can juggle schedules, spreadsheets, and subcontractors-and still find time to handle a surprise delivery at the job site-this could be the perfect fit.
Office Manager Responsibilities:
Manage daily office operations and support project management staff
Handle scheduling, timekeeping, and coordination for field crews
Maintain job files, contracts, insurance certificates, permits, and compliance documentation
Oversee AP/AR processes, including invoicing, purchase orders, and vendor payments
Communicate with clients, subcontractors, suppliers, and inspectors
Track and update project budgets and change orders
Order materials, manage deliveries, and handle equipment rental coordination
Assist with payroll processing and HR documentation for crew members
What We're Looking For in an Office Manager:
3+ years of experience in office management (construction industry strongly preferred)
Proficient in construction software (e.g., Procore, Sage 100/300, Buildertrend, or similar)
Strong organizational and multitasking skills
Knowledge of construction processes, terminology, and documentation
Professional communication style with a can-do attitude
Comfortable working with everyone from job site supervisors to city permit offices
Ability to problem-solve and stay calm under pressure (bonus if you can do it with a smile)
