Job Overview

We are seeking a highly organized and proactive Executive Assistant to support our fast-paced CEO. The ideal candidate will have strong expertise in QuickBooks Online, advanced skills in Google Sheets and Excel, and the ability to manage reporting and administrative tasks with precision. This role requires a resourceful, detail-oriented professional who thrives under pressure and can anticipate the needs of the CEO.


Key Responsibilities

  1. Financial Management:
  • Manage QuickBooks Online, including accounts payable/receivable, invoicing and data research
  • Generate detailed financial reports and insights for the CEO to support decision-making.
  • Monitor and track expenses, budgets, and cash flow.
  1. Administrative Support:
  • Manage the CEO's calendar, schedule meetings, and coordinate travel arrangements.
  • Serve as the primary point of contact for internal and external stakeholders.
  • Organize and maintain files, records, and correspondence.
  1. Data Analysis & Reporting:
  • Create and maintain advanced reports using Google Sheets and Excel, including pivot tables, VLOOKUP, and complex formulas.
  • Analyze data to identify trends, issues, and opportunities for improvement.
  • Provide regular updates to the CEO with actionable insights.
  1. Project Coordination:
  • Assist with the execution of high-priority projects and ensure timely completion.
  • Act as a liaison between departments to ensure clear communication and alignment. Ability to coordinate multiple calendars with clear communication
  1. Operational Efficiency:
  • Identify and implement tools and processes to streamline workflows.
  • Stay ahead of deadlines and ensure the CEO is prepared for all meetings and commitments.


Qualifications

  • Experience:
  • Minimum of 5 years of experience in an executive assistant or similar role supporting C-level executives.
  • Proven expertise in QuickBooks Online.
  • Technical Skills:
  • Advanced proficiency in Google Sheets and Microsoft Excel (pivot tables, macros, advanced formulas).
  • Familiarity with CRM tools and project management software is a plus.
  • Soft Skills:
  • Exceptional organizational and multitasking abilities.
  • Strong communication skills, both written and verbal.
  • High degree of discretion and confidentiality.
  • Other Requirements:
  • Ability to work in a fast-paced, dynamic environment and handle stress effectively.
  • Proactive problem-solver with a strong sense of initiative.
  • Must have the ability to think independently and figure out what is asked even when not knowledgeable in the task
  • Personal errands for the CEO along with personal assistance will be required
