About The Role


The Production Assistant role at Ralph offers a dynamic and ever-changing environment where no two days are alike. This position is perfect for someone who thrives on taking initiative and is eager to learn every facet of our Production team. You’ll play a key role in assisting with managing social campaigns, asset tracking and delivery, communicating with clients, and coordinating shoots and events.


What You’ll Do


Administrative and Organizational Tasks

  • Project Management: Assisting in tracking project timelines, deadlines, and deliverables.
  • Scheduling: Coordinating meetings, appointments, and production schedules.
  • Paperwork and Filing: Maintaining organized records, contracts, and important documents.
  • Communication: Handling emails, phone calls, and other communication channels.
  • Travel Arrangements: Booking flights, hotels, and transportation for team members.
  • Expense Reports: Processing and submitting expense reports.


Production Support

  • Finding Efficiencies: Assess, identify and implement smart AI tooling to streamline production processes where beneficial for the team and clients.
  • Asset Management: Organizing and maintaining digital files, images, and videos.
  • Pre-Production: Assisting in research, script preparation, and storyboarding.
  • Production: Supporting on-set activities, running errands, and coordinating logistics.
  • Post-Production: Helping with editing, sound design, and finalizing deliverables.


Client and Vendor Relations

  • Client Communication: Liaising with clients, answering inquiries, and providing updates.
  • Vendor Management: Coordinating with freelancers, suppliers, and other external partners.
  • Contract Management: Assisting in reviewing and finalizing contracts.


General Office Duties

  • Office Maintenance: Keeping the office clean, tidy, and well-stocked.
  • Shipping and Receiving: Handling incoming and outgoing packages and shipments.
  • Adapt to evolving responsibilities and take on additional tasks as required.


About You


  • Bachelor’s degree in marketing, business, communications, or equivalent experience in a similar role at an advertising or entertainment agency.
  • Demonstrated success working in Project Management, Account Management and/or Production at an advertising or entertainment agency.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Attention to detail with a meticulous approach to ensure projects are handled with accuracy and precision.
  • Strong time management skills to ensure all deadlines are met.
  • Clear and concise communication with team members as well as clients.
  • Strong problem solving skills and the ability to think critically and find solutions when faced with challenging scenarios.
  • Excels at navigating tasks on your own as well as collaborating effectively within a high performing team.
  • Embraces change with enthusiasm, continually seeks to expand skill sets, and adapts to varied responsibilities with ease.
  • Familiarity with Google Docs, Sheets, Slides, Calendars and Microsoft Programs.
