We are seeking a contract administrator and paralegal who is experienced with commercial real estate administration and is comfortable working with a variety of situations. This role will support all of our property management, maintenance services, accounting, project management, and leasing functions. We are seeking someone comfortable working 3-4 days per week, with actual schedule to be negotiated considering the candidate's needs.



Responsibilities

  • Prepare and review commercial property leases, vendor contracts, license agreements, purchase and sale agreements, and other commercial or real estate transaction documents.
  • Negotiate final agreement terms with third parties, representing our company and clients professionally and aiming to achieve the best outcomes.
  • Draft and maintain contract and lease abstracts and maintain complete documentation files.
  • Input contract and lease data into administration systems and maintain database for accurate reflection of current agreements.
  • Provide vendor oversight, including administration of construction projects and related documentation.
  • Prepare and review general contractor agreements (often utilizing AIA formatting) for both company-owned contractor and as the client.
  • Review certificates of insurance for vendors, owners, and affiliated parties and maintain current and accurate database of documentation to ensure ongoing compliance with client management agreements, leases, property financing documents, and vendor contracts.
  • Advise company on risk management and insurance practices.
  • Manage collection of past-due tenant and customer revenues, including default and/or demand notices and negotiation correspondence and follow-up.
  • Assist with due diligence on real estate property acquisitions.
  • Communicate with clients and vendors to answer questions and keep them updated on the status of their agreements.
  • Conduct legal research and advise management and clients on real estate law issues.
  • Perform other duties as assigned by company management.


Necessary Qualifications

  • Paralegal certificate.
  • Associate's degree or bachelor's degree in paralegal studies or a related field.
  • 5+ years of experience working as a contract or real estate paralegal or in a related legal field.
  • Strong knowledge of commercial contract or real estate law and procedures.
  • Excellent research and writing skills.
  • Familiarity with Microsoft Office software products (Word, Outlook, Excel, PowerPoint).
  • Ability to meet deadlines and manage others, both internal and external, to meet deadlines.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
