Vaco Staffing is looking for someone for a contract scanning associate role for a client in the Fort Worth area.
Job Summary:
As a Scanning Associate in the Human Resources department of our medical records facility, you will play a crucial role in the efficient management of HR documents. Your primary responsibilities will include scanning HR files, organizing documents in SharePoint (SP), and ensuring the accuracy and confidentiality of sensitive information. This position requires a keen eye for detail, strong organizational skills, and the ability to work collaboratively with HR professionals.
Key Responsibilities:

  1. Scanning HR Documents:
    • Utilize scanning equipment to convert physical HR documents into digital format.
    • Ensure the quality and clarity of scanned images for accurate representation.

  2. Organizing Documents in SharePoint (SP):
    • Upload scanned documents to SharePoint, following established protocols and file structures.
    • Categorize and tag documents to facilitate easy retrieval and reference.

  3. Quality Control:
    • Conduct regular quality checks to verify the accuracy and completeness of scanned documents.
    • Address any discrepancies and collaborate with team members to maintain data integrity.

  4. Confidentiality and Security:
    • Adhere to strict confidentiality guidelines when handling sensitive HR information.
    • Implement security measures to protect digital files from unauthorized access.

  5. Collaboration:
    • Work closely with HR professionals to understand document requirements and priorities.
    • Communicate effectively within the HR team to ensure seamless document management processes.

  6. Troubleshooting and Maintenance:
    • Identify and report any issues with scanning equipment or software.
    • Assist in routine maintenance tasks to ensure optimal performance.

  7. Record Keeping:
    • Maintain accurate records of scanned documents and their locations in SharePoint.
    • Generate reports as needed to track scanning progress and document status.
Qualifications and Skills:
  • High school diploma or equivalent.
  • Previous experience in document scanning and management is preferred.
  • Familiarity with scanning equipment and software.
  • Strong organizational and time-management skills.
  • Attention to detail and accuracy in data entry.
  • Ability to maintain confidentiality and handle sensitive information.
  • Effective communication and collaboration skills.
