Job Details

Job Title: Project Management Office (PMO) Administrator
Location: Ontario, CA and/ Hybrid
6mth-1year project

  • The PMO Administrator Supports the PMO in ensuring that all projects are executed effectively. This role involves providing administrative support, maintaining project documentation, and assisting project managers in various tasks to ensure project success.

Responsibilities:
  • Administrative Support: Provide administrative assistance to the PMO Coordinator and team, including scheduling meetings, preparing agendas, taking minutes, and maintaining project calendars.
  • Documentation Management: Maintain and organize project documentation, ensuring all records are accurate, up to date, and easily accessible.
  • Reporting Assistance: Assist in the preparation of project reports, including compiling data and preparing status updates.
  • Tool Management: Manage and maintain project management tools and software, ensuring they are up-to-date and utilized effectively by the team.
  • Compliance and Standards: Ensure that all projects adhere to PMO standards and organizational policies, assisting in the enforcement of best practices and methodologies.
  • Data Collection and Entry: Accurately collect and enter project-related data into PMO systems and databases, ensuring that all information is up-to-date and correctly formatted, writing purchase Order, tracking invoices, writing contracts/agreements, calling customers, interfacing with ERP and Cost accounting systems.
  • File Management: Organize and manage electronic and physical files, ensuring all project-related documents are properly stored and archived.
  • Communication: Facilitate communication within the PMO, distributing information as needed and ensuring that team members are informed of updates and changes.

Qualifications:
  • Education: High school diploma or equivalent; an associate degree or higher in Business Administration, Project Management, or a related field is preferred.
  • Experience: 1-2 years of experience in an administrative role, preferably within a project management or similar environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Attention to detail and accuracy.
  • Ability to work independently and manage multiple tasks simultaneously.
