Scheduling

  • Schedule clients for appointments, providing clear, timely written and verbal communication.

·        Maintain and update client profiles in Salesforce with communication cadence updates.

·        Manage the schedule, balancing volunteer availability with client requests, working with the team to ensure client needs are met.

·        Create and maintain documentation to train team and volunteers for data entry, outreach and scheduling support.

Data Coordination

  • Audit Client Experience data monthly to eliminate potential errors in reporting data.
  • Create and present monthly reports on trends for the Client Experience team, including program. participation, outreach, referral and attendance rates, and rescheduled or canceled appointments.
  • Coordinate activities based on the monthly trends to ensure women are being connected with services.


Client Experience Team

  • Support agency functions at the front desk, suiting, and professional attire donations as scheduled and requested.
  • Provide regular coverage at the front desk - cover lunch and three time blocks a week.


Qualifications

·        Excellent problem-solving, customer service, and interpersonal skills.

·        Excellent organizational skills, with the ability to multi-task comfortably.

·        Strong critical thinking, time management, and follow-through.

·        Strong verbal communication skills.

·        The ability to create visuals and interpret data for the team.

·        Bachelor’s degree or equivalent experience.

·        Minimum of two years of work experience directly working with clients over the phone in a service-oriented role, preferably scheduling appointments.

·        Experience with Microsoft Office 365 and Salesforce.

·        Ability to maintain a calm, caring, and professional demeanor at all times.

·        Valid driver’s license with reliable transportation.

·        Able to lift 30 pounds.


Working Conditions

·        9:00 am - 4:30 pm, Monday through Friday on-site at DFS Houston. Must be able to work evenings and weekends for agency events, approximately six per year.
