Payroll Specialist                                                                                                                               

This paraprofessional technical position requires general fiscal knowledge, such as, but not limited to, payroll collection, validation, and processing for multiple standalone locations. Payroll specialist will be familiar with accruing holiday, sick and vacation hours, withholding and submitting wage garnishments, 401(k) contributions and other defined benefits. The successful candidate will also be familiar with payroll tax payments and general ledger entries. Position is accountable for accuracy of entries and reconciliation of data and information.


 Primary Duties and Responsibilities

•       Processing of all aspects of a multi-state, multi-EIN payroll accurately and timely, including auditing and reconciling, following all applicable laws, policies, and procedures.

•       Collecting and inputting timekeeping data from various sources into ADP

•       Reviewing time and payroll records for compliance with FLSA and other applicable labor laws

•       Working closely with Human Resources, employees, and Project Managers to research and resolve payroll issues.

•       Process, maintain, and submit withholdings to agencies and vendors timely.

•       Assist with monthly and quarterly payroll account reconciliations.

•       Respond promptly to inquiries for information from external and internal customers including taxing authorities.

•       Provide customer service to employees in the area of pay, benefits, and taxes as they relate to their pay, where to locate forms and information, where to send completed forms, who to contact for benefit questions and how to obtain IRS instructions on withholding issues.

•       Maintain all levels of confidentiality especially with sensitive payroll information

•       Develop in depth understanding of payroll data to be able to create Ad-Hoc reports on demand

•       Compiles and validates the accuracy of payroll data for business partners and stakeholders

•       Generate and distribute W2 forms annually, including reporting of files to Social Security Administration.

•       Provide accounting and processing support to other business areas including but not limited to Management, Accounts Payable, and Accounts Receivable.

•       Completes special projects and other duties as assigned


Knowledge, Skills, and Abilities 

•           Considerable knowledge of payroll procedure including payroll taxes and other deductions

•           Considerable knowledge of accounting methods, procedures, and accounting practices.

•           Ability to understand, interpret, and apply the laws and regulations pertaining to financial records.

•           Ability to present financial information clearly and concisely in oral and written form.

•           Ability to research, identify, and resolve discrepancies in accounting transactions.

•           Ability to verify accounting documents and forms for accuracy and completeness.

•           Knowledge of a variety of technology, financial systems, and software packages to create and maintain financial data. MS Office Suite- Word, Excel, and Outlook- knowledge is required. ADP payroll experience is preferred. ABRA/Sage or comparable accounting software experience is preferred.

•           Ability to establish and maintain effective working relationships with others both internally and externally.

•           Ability to proactively communicate with vendors and team members to efficiently and effectively complete job duties. 

 

Minimum Education and Experience

Associate degree in accounting from an appropriately accredited institution, and two years of accounting experience; or High school diploma or General Educational Development (GED) diploma and four years of experience in accounting work; or equivalent combination of education and experience.
