This role supports the entire team by keeping the team organized, up to date, and prepared to respond to all issues. The person that we are looking for is highly organized and detail oriented and is the perfect gatekeeper to help us work efficiently.

CYB aims to be the place for you as you build your HR career. Our HR Apprentices train and devlop their HR skills for 2 years before sitting for their SHRM exams. CYB Apprentices are expected to move into the role of HR Generalist and begin working with clients directly. You must have the confidence and ability to meet with C-suite, Management teams, and other employees of our clients.

 

Essential Functions

Regular Tasks

 

  1. Review, respond and organize email in HR@, hrcompliance@, recruiting@, and Admin's personal email box and passes on to appropriate CYB team member.

  2. Drafts written responses or replies by phone or e-mail when necessary using pre-established templates. Creates, drafts and saves templates when needed.

  3. Utilize Zoho CRM to maintain organization of client accounts and CYB documents.

  4. Collaborate through Zoho Projects and complete tasks assigned, including management throughout the day and assigning tasks as necessary.

  5. Send out and manage acknowledgement forms for clients and store in workdrive.

  6. Engage in client calls providing feedback, thoughts, and updates in live calls within the first 90 days of hire.

  7. Make outgoing calls to clients and applicants

  8. Update client support documents, including client agendas, as needed.

  9. Works alongside team to build out, provide feedback for, and create internal and administrative SOPs as company scales.

  10. Proofread documents and provide data entry as necessary.

  11. Coordinate onboarding of new clients

  12. Manage client tasks such as:

    1. HR Document Creation (Handbook, SOP, Job Descriptions, Acknowledgement Forms, etc.)

    2. Recruitment including posting, screening, and phone interviewing for roles.

    3. Conducting research and attending product demos as requested.

    4. Updating presentations.

    5. Learn to manage and run payroll.

    6. Provide compliance updates and updates to reflect changes to clients.

  13. Send follow up email to pending documents for signature or that needed response

  14. Other tasks as assigned.

 

Monthly/Quarterly/Yearly Tasks

  1. Download state law changes and update tracker for HR Generalist review. Download from HR Compliance system

  2. Receive regular HR compliance updates and relevant HR related news, including collecting client updates and social media content.

Supervisory Responsibility

This position has no supervisory responsibility.

 

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to talk, see, and hear. The employee frequently is required to use hands to finger, handle or feel; and reach with hands and arms.  This position requires the ability to occasionally lift office products and supplies, up to 5 pounds and to bend and stand as necessary.  

 

Position Type/Expected Hours of Work
This is a full-time position and hours of work and days are Monday through Friday, 8 :00 a.m. to 5 :00 p.m in Mountain Time . Occasional evening and weekend work may be required as job duties demand .

 

Travel

This position does not require travel.

Requirements

Required Education and Experience

  1. 6 months of experience in a professional role related to HR or in HR role.

  2. General understanding of HR (Employee Handbooks, Job Descriptions, etc.)

  3. Ability to maintain a high level of confidentiality and manage documents with sensitive information

  4. Advanced level of experience with PowerPoint, Outlook, and Office 365 tools

  5. High level of comfortability with public speaking/interacting with clientele on Zoom/calls/texts

  6. Comfortable with a start-up environment

  7. Able to make quick adjustments and build new processes

  8. Interested in growing and learning in the HR field.

  9. Interested in becoming HR Certified.

  10. Must be comfortable joining calls with video on and speaking with clients while supported by the HR Generalist.

 

Preferred Education & Experience

  1. Experience with a fast-paced startup environment

  2. Experience in HR

  3. Experience with Zoho

  4. 1 yearof experience in an HR Role

  5. Able to identify basic HR principles such as employee handbooks, job descriptions, etc.

  6. Previous experience using AI products such as ChatGPT and Gamma.
