Scheduling Coordinator


Independent Living Services of Central Minnesota is a company providing 245D in home supports and services. As an ILSCM employee, it is important that you are self-motivated and able to work as part of a team as well as complete your duties without being micromanaged. As the scheduling coordinator you will work to create and maintain consistency in the coordination of scheduling for clients and staff. You will work closely with the program manager and human resources manager to collaborate staffing and client needs. In this position, your organization, ability to prioritize, and problem solve will be key components. The ability to de-escalate and effectively communicate between individuals served, staff and management will be imperative to your success in this position. Job duties will include but are not limited to:


o Create and maintain DC on call rotation schedule
o Collaborate with DM to review staffing needs and create DSP schedules that fit individual preferences, staff availability and geographically make the best use of time
o Enter and update schedules into Caretap-upon hire, with staffing changes, with SA updates and changes
o Attendance line- track employee call ins, schedule changes and document in employee file and Staff Information and Logging Spreadsheet
o Monitor Caretap Delayed-Check in/Check out screen to review employee activity in real time- determine any issue with clocking in, schedule changes, client cancellations, staff cancellations-document in individual and staff notes
o Offer and assign float staff or DC's for shift coverage in real time based on float and DC availability.
o Monitor locations for EVV-approved vs unapproved, clocking in or out from locations other than individuals' home
o Contact employees for timecard adjustments and errors
o Maintain current Client Tracking Spreadsheet in terms of staffing needs and scheduling changes
o Monitor DC on call file and update forms as it pertains to scheduling
o Review needs of annual training completions with HR and adjust to remove employee's from schedule who do not complete annual training
o Schedule and track person specific trainings and documentation of meetings
o Troubleshoot Caretap time clock issues with employees
o Collaborate with HR, DM, and other coordinators to improve and create processes
