We are seeking an equally passionate Licensing Compliance Specialist to help further our mission through providing support to the daily affairs of our legal department. This position will require an individual to think on their feet, be detail oriented and organized, maintain frequent and detailed communications with the legal team, and have an overarching desire for success. This role will report directly to the Sr. Licensing Manager.

This position is open to remote candidates legally authorized to work in the United States and residing in the following states: AZ, CA, CT, DC, FL, GA, ID, IL, IN, LA, MA, MD, MA, MI, MS, NC, NH, NJ, PA, RI, SC, TN, TX, UT, & VA.

Essential Job Functions

Provide business licensing support to the company and its subsidiaries.Ensure all business licenses are obtained and maintained properly.Manage and maintain tracking and database tools related records related to licensing, registration, and other applicable information.Engage in daily communication with licensing agencies to address compliance issues.Manage and complete all licensing requirements, including applications and renewals.Assist in the research, application, and administration of company and employee licensing. Respond to questions from company personnel regarding licensing requirements.Assist with various tasks related to acquiring business licenses, project management and calendaring.Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders.Provide general administrative support to members of the legal/compliance team, as needed.Work cross-functionally with various teams (e.g., Permitting, Accounting, Operations) to meet licensing requirements, reporting obligations, and deadlines, for ongoing compliance maintenance.

Qualifications and Competencies

Strong analytical, research, communication and organizational skillsHave excellent time-management and multitasking skills to perform office duties with high accuracy and efficiency under minimal supervision.Demonstrates oral communication skills with an ability to interact effectively across all levels of a large organization and with outside organizations/individuals.Establish and maintain cooperative working relationships with vendors, coworkers and other individuals in contact during the course of work; communicating clearly and concisely. Assess and prioritize multiple tasks and demands; maintain composure and work effectively under pressure; meeting deadlines. Attention to detail, accuracy, and effectively handling sensitive and confidential information.Able to adapt to changing priorities and demands.Proficient in Google Suite products. This is the company’s main platform.Proficient in typing, data entry, using standard office equipment and the ability to operate a personal computer utilizing standard software such as Microsoft Office including Word and Excel.Experience using complex electronic databases, computer and web-based expense and travel submission programs. Be able to legally work in the United States, without company sponsorship or time restriction.

Education/Experience

High School diploma. 3+ years of related experience in a business licensing, project management, legal secretary, or administrative assistant support role.Previous licenses & permits experience is highly preferred.Experience with commercial licensing is a plus.Knowledge of East/West Coast territories preferred but not required.Must be able to successfully pass all pre-employment screenings, including criminal and drug screens.
