Subject to Grant Funding?: Yes Essential Job Functions: 1. Makes contacts with various groups, clubs, schools, and organizations to invite them to visit the museum and enjoy discounted admission rates. Emphasizes that tours will be provided by Docents and or Education staff.2. Develops creative ideas and methods to encourage groups and travel agent packages to include visits to the museum.
3. Works with the Education Department to meet weekly and quarterly goals for school, and private groups
4. Maintains database and mass calendar of groups scheduled to attend museum and ensure required personnel has the group information.
5. Assists the Education department with attendance reports for groups and events.
6. Generates invitation letters for private tours with information of the Museum’s current and upcoming exhibitions.
7. Manages the distribution of applications for school groups and ensures participating schools meet compliance requirements according to Museum’s grants.
8. Assists the Education Department with event rsvp and check-in.
9. Processes and records payments received. Prepares weekly cash journal excel report for all monetary transactions.
10. Works collaboratively with marketing, education, museum store/café and admission departments to ensure a pleasant and an exceptional experience for our guests.
11. Creates engaging activities for the school groups and the public, both virtually and in-person.
12. Coordinates and facilitates engaging activities during the Museum’s free days, and other public and outreach events.
13. Works on assignments as designated by direct supervisor.
14. Performs other duties as assigned or required.
Marginal Job Functions: 1. Responds to inquiries, collates complex material, communicates and retains documents.
2. Accepts reservations and books group tours for gallery and exhibitions
3. Coordinates with Event Manager to assist the Museum’s educational outreach programs.
4. Acts as a backup to the Executive Assistant of the department.
5. Engages in research and academic outreach to increase teen admissions revenue.
Required Knowledge, Skills, & Abilities: 1. Ability to communicate clearly and effectively in verbal and written communications.
2. Ability to work nights and weekends.
3. Exceptional customer service skills; people oriented.
4. Proficient sales skills.
5. Ability to manage multiple projects, prioritize and work efficiently under deadlines.
6. Ability to use excel, word and database software.
7. Ability to use creative sales techniques and methods to attract groups to visit/attend museum. Job Requirements: Required Certifications/Licensures: Required Education: Bachelor's degree Major (if required): Required Experience: Two (2) to four (4) years of experience within a sales-related field. Preferred Qualifications: 1. Prior sales experience.
