CHURCH ADMINISTRATOR

Position Summary:

The Church Administrator is the team leader for Facilities, Financial Management, Human Resources, Information Technology, and Food Services. This position has personnel management and budgetary responsibilities. The Church Administrator manages a macro view of these areas, ensuring that the Operations teams support and enhance the vision and strategic goals of Trinity.

Primary Responsibilities:

  • Lead, guide, and direct the Director of Facilities, Bookkeeper, Personnel & Accounting Clerk, and Director of Food Services ensuring effective execution of primary duties and key responsibilities in these roles.
  • Provide guidance and support to Operations team members in their work with church leadership committees.
  • Participate in all trainings required by the Employee Policy Manual (e.g. Safe Sanctuary).

Facilities

  • Serve as the staff liaison to the Board of Trustees.
  • In collaboration with Trustees and the Director of Facilities, establish and maintain a current and upcoming project management list.
  • In collaboration with Trustees and the Director of Facilities, develop and oversee an annual facilities budget for the areas of responsibility including income projections and expenses, including the Building Maintenance Fund.
  • In collaboration with the Director of Facilities, develop long- and short-term comprehensive facility plans and present to the Trustees for prioritization and action steps.
  • In cooperation with the Director of Facilities and the Board of Trustees, identify, communicate, plan, and provide leadership for the management of large- and small-scale facility projects.
  • In cooperation with relevant Department Directors and the Board of Trustees, annually review and negotiate vendor contracts including property and liability insurance.
  • In cooperation with the Director of Facilities and Board of Trustees, work with appropriate government agencies to ensure that buildings are safe and meet current code requirements, conduct annual inspections, and ensure compliance of OSHA regulations and standards.
  • Oversee policies and procedures to ensure the safety of the property including an emergency plan for the building and ensuring safety drills are completed regularly.

Financial Management

  • Serve as the staff liaison to the Finance Committee.
  • In collaboration with the Finance Committee, develop and review annually the church's financial policies.
  • Exercise sound financial management practices through analysis and forecasting to communicate the financial position and make recommendations on the timing of expenses.
  • Oversee the annual financial review as defined in the Trinity Financial Procedures Manual.
  • Lead, guide and direct the annual budget development process equipping budget managers with tools and support resulting in a collaborative church budget being presented for approval.
  • In collaboration with the Bookkeeper, develop and deliver actionable reports requested by the Finance Committee.
  • Analyze income and expense trends, utilizing quarterly forecast models, to support financial decisions.
  • Oversee the input of annual pledges in the church management software.
  • Oversee the provision of data for the financial section of the Year End Conference Report.

Human Resources

  • In collaboration with the SPRC (Staff Parish Relations Committee), develop and review annually all employment practices and procedures including but not limited to the employee handbook, benefits and compensation plan, performance review procedure, workers compensation claims process, employee on-boarding, and payroll.
  • Provide leadership to support implementation and understanding of established practices and procedures to employees.
  • Provide guidance and support to staff leaders with supervisory responsibilities to ensure consistency and equity in the employee coaching process.
  • Provide guidance and support to employee grievances that have advanced beyond the direct supervisor to ensure consistency and adherence to applicable law.
  • Lead, guide, and direct the annual open enrollment process and serve as the primary contact for all employee benefit providers.
  • Maintain knowledge of applicable employment and nonprofit management, laws, and best practices.
  • In collaboration with staff supervisors, orchestrate and administer recommendations for staff salary actions to the Staff Parish Relations Committee (SPRC).

Information Technology

  • Collaborate with Trinity's contracted IT company to ensure the setup of all IT needs for new employees (email, computer, phone, software accounts, etc).
  • Serve as primary administrator of all software utilized by the operations departments.
  • Serve as primary point of contact for internet and network equipment contracts (computers, wifi, cameras, etc.).
  • Collaborate with Ministry Leaders and ensure a thorough and accurate inventory of technology equipment with assignment by employee and/or location is maintained, including purchase date and expected lifespan to develop a functioning replacement plan and annual budget recommendations (computers, printers, keyboards, projector, etc).
  • Develop FAQ and "Trinity How To" documents to support the day-to-day operational issues of staff and relevant lay leaders.

Qualifications and Experience:

  • Bachelor's degree from an accredited college or university in a management discipline.
  • 8 years of experience in an operational leadership role in an organization of comparable size or larger, preferred. Experience with non-profit organizations is preferred.
  • A combination of education and experience sufficient for the ability to execute the responsibilities of the job.
  • Collaborative and thoughtful leadership style that empowers all team members to do their best work.
  • Understanding of and alignment with the core values, mission, and vision of Trinity. 
  • Ability to pass a background check screening.

Work Schedule:

This position is full-time, 40 hours per week. The typical workweek is Monday through Friday. Monthly nights and some weekends are required for attendance at committee and council meetings.
