Overview

Primary responsibility is to manage, direct workflow and provide comprehensive support to the Wealth Administrative team across one or multiple markets. The Wealth Administrative Supervisor will be responsible for delivering a high degree of business professionalism that will enhance the client experience and positively impact new business development, client referral and retention efforts.

Key Responsibilities   

Directs and manages department staff goals, and strategies; evaluates and reviews administrative activities to identify workflow efficiencies and provide appropriate training to allow leverage of tools made available to administrative staff.  Evaluates and implements new technology which supports the delivery of Wealth products and services.  Core business understanding of Investment and/or Fiduciary business.  Thorough knowledge of core operating Wealth and Bank platforms.  Understanding and ability to articulate full scope of JFG products and services.  Works closely with clients, relationship managers, and business partners (Wealth, Commercial/Consumer Banking, Financial Advisory, Insurance) to ensure efficient delivery of operational support functions.  Research and assist in resolving client inquiries and issues through to resolution; displays initiative to problem solve and escalate when appropriate, ability to develop team and work independently.  May manage trade executions and verifications at the direction of the Wealth Advisors.  Responsible for team accurately opening and closing of accounts; including tracking of incoming/outgoing transfer of assets and cash.  Fiduciary responsibilities include but are not limited to: Estate valuations, insurance claim processing, Will File, Vault and procedures, probate and other post death processes, and insurance trust monitoring.  Investment responsibilities; include initiating and tracking the status of deposits, as well as cash and asset transfers to accounts.  Responsible for review, disbursement, and updating of required reports (outlier reports, account synoptic, direct to hold letters, investment policy statement updates, etc.). Process various client requests including but not limited to, wire transactions, funds transfers, and requests for distributions.  Manage the accurate and timely preparation of correspondence, reminders/ticklers, performance reports, documents, ad hoc reports, proposals and other administrative functions. Integrates technological advances into operations to enhance productivity and provide advanced functionality.  Ensure client files are maintained to meet industry standards and compliance requirements.

Management

Effectively communicate performance expectations; monitor and hold staff accountable for their performance and their actions.  Act as a ‘Coach’ for associates to leverage strengths and understand and identify gaps in performance; conduct one-on-one meetings and timely appraise performance.  Provide development opportunities for staff aligning with their career goals and develops ‘bench strength’ for key positions.  Proactively recruit and maintain a pipeline of candidates who display requisite job skills and exhibit values consistent with Johnson Financial Group.  Create and sustain an environment which supports teamwork and mutual respect.  Communicates to team; corporate updates, business updates, etc. and conducts regular, meaningful team/department meetings.  Monitor and maintain appropriate staffing levels to efficiently execute department responsibilities.  Uses financial information to identify and implement cost containment or reduction programs and ensure expenditures are accurate and follow policies and procedures.  Models exemplary behaviors and actions for associates

Job Requirements – Education, Knowledge, and Skills   

Bachelor’s degree in business, accounting/finance, information systems or relevant area preferred; with minimum 5 years experience managing in the financial services industry and/or Wealth services. Work experience may be considered in lieu of education.  Excellent oral and written communication skills; proven organizational, analytical and follow up skills. Proficient with MS Office Suite of products, wealth accounting systems and bank operating systems.  Investment custody and/or Wealth accounting system knowledge highly desired.  Experienced Wealth Supervisors will have working knowledge of specific software (i.e., Financial Planning software, Trading Calculators, etc.).
