Demonstrates competence in the performance of duties and responsibilities related to administrative/office support for Imaging Services, patients and Physicians to ensure smooth daily operations.
o Greets and assist all who enter the department with enthusiasm, answers telephone per hospital customer service standard, takes messages and relays information to appropriate personnel.
o Notifies Imaging Services modalities upon patient arrival, works closely with Technologist/Sonographers to monitor patient flow and communicate potential delays with patients. Pro-actively communicates updates to patients with regard to wait times.
o Utilizes hospital intranet to access and print department forms. Respectfully instructs patients, parent and/or guardians regarding the necessary screeners and appropriate consents to fill out and sign prior to procedure.
o Back-up coverage for daily schedule reconciliation of patients’ provider orders per front desk procedures. Provides timely updates/follow up to Manager with regard to provider order discrepancies.
o Files, faxes, collates and photocopies materials required. Types correspondence, memos, minutes and related documents as needed. Maintains competencies relating to the replacement of cartridges and toners to ensure continuing function of office equipment.
o Assist with maintaining appropriate supply par levels, which includes ordering/receiving supplies, follows policy and procedure.
o Maintains and updates office reference material (. policies and procedures, minutes, journals, reports, and as needed.
o Assist with orientation of new team members and volunteers in department, provides supervision of volunteers as needed.
Demonstrates competence in the performance of duties and responsibilities related to professional performance expectations. Displays professional etiquette utilizing "We Care" skills and National Reseach Company scripting toward coworkers, patients and all healthcare providers. Exhibits flexibility in daily assignments, performance expectation and is adaptive to change.
o Demonstrates ability to effectively manage time, is focused, well organized, prioritizes and completes assignments/tasks by established time frame.
o Actively fosters communication with Manager regarding daily issues, discrepancies and concerns.
Demonstrates competence in Technology Management to include Electronic Imaging & Film/Record Management-uses office equipment and various computer systems/applications to facilitate daily Imaging operations. Maintains competencies pertinent to information systems used in the department. (. Microsoft Office Suite, EPIC, Visage and more)
o Processes patient data into EPIC in an accurate and complete manner. Requests outside imaging records and reports. Assist with imaging records, per department QC standards, for Radiologists to interpret. Strictly adheres to HIPAA guidelines and policy.
o Carefully maintains an accurate list of physicians requesting reports. Assist with promptly sends patients reports to physicians' offices to ensure results are received timely.
o Follows established QC guidelines pertaining to release of imaging and reports.
o Assists with CD requests from patients, physicians via telephone or in person. Coordinates CD pick up with Medical records.
Demonstrates competence with obtaining all information to complete Pre-registration, in-person registration and scheduling accurately and efficiently for imaging appointments. Properly search for patients' to avoid creating duplicate medical records. Accurately update patient demographics and financial information including insurance information for seamless billing.
o Works in conjunction with patients, ordering provider offices and patient access to accurately schedule Imaging appointments.
o Offers Patient Rights information, Advanced Directives and other applicable handouts. Understands and can explain Patient Registration Consent form to population served.
o Works closely with all team members to assist with patient flow, update patients regarding potential delays, ensure patient comfort by utilizing "We Care" skills and department service standards.
o Performs anxiety reduction to patients and their families, explains and answers questions within the scope of training.
o Provides assistance and back up to the modality Manager with scheduling modality team meetings and communicating patient care needs that require escalating to a leadership level.
Demonstrates patient coordination responsibilities for scheduled outpatients. Seeks out Manager as needed. Monitors outpatient schedule.
o Provides pre-instructions and estimated times for all scheduled appointments.
o Monitors outpatient schedule for both Somersworth and Portsmouth locations.
o Performs daily patient confirmation and prep instruction calls for scheduled outpatient appointments.

Qualifications

Experience Minimum Required

• Minimum of two years
Experience Preferred/Desired
• Administrative experience in a healthcare setting. 
Experience with Medical Terminology, Anatomy and Physiology.
Education Minimum Required
• High School with business courses and excellent computer skills 
Education Preferred/Desired
• AS in secretarial science or business
Special Skills Minimum Required
• Must be proficient with computer programs such as Microsoft Office.
• Ability to multi-task in a fast-paced environment.
• Presenting a calm and professional manner. 
• Requires the knowledge and ability to utilize various computer and on-line applications.
