Overview



The MOHS Coordinator schedules all MOHS procedures and assures that all appropriate clinical and insurance information is collected for the scheduled surgery, oversee requests to schedule from physicians internally and externally and schedule the correct procedure according to the guidelines. The MOHS Coordinator performs clerical and administrative duties such a processing incoming faxes, answering phones, and scheduling all aspects of patients’ surgical procedures. Ensures patients questions are answered prior to surgery. 


Responsibilities

Schedule all MOHS, Standards, EDC’s, etc.  Provide patients with pre-op instructions along with info sheet when applicable Schedule all delayed excisions and repairs Schedule emergent and add on surgeries Ensuring all surgical cases are scheduled in a timely manner in accordance with the provider’s directions Review clinical tasks including photos and pathology reports in order to grade tumors for accurate scheduling  Review surgical schedules daily for accuracy Document completion of removal in EMA path log daily  Take incoming calls daily and make necessary outbound calls Answer detailed questions regarding surgeries in addition to pre-op and post-op questions Manage all voicemails and incoming cases in a timely manner Handle requests for surgical codes for HMOs ensuring authorizations are in place Coordinating with outside offices (plastic surgery, ENT, Oculoplastics) to make referral and surgical coordination happen smoothly. Create/document all scheduled surgeries in EMA tasks Maintain an organized cancellation list Handle inbound Mohs referrals from outside providers

Additional clerical functions

Audit Melanoma MIPS regarding Recalls to ensure they are completed in a timely manner Process incoming faxes when needed or in downtime Adherence to compliance and completion of compliance training. Creates New Hire Bios with photos in word for providers to view  Distributing daily rendering and referring reports for all locations to ensure proper billing for cosmetic and medical appointments.  Process all no shows for the Medical Spa following proper protocols Assist in answering incoming backline calls when applicable Assist in triage voicemail when needed Backup to front desk if needed for vacations, call offs, or as needed Performs other related duties as assigned.
Qualifications

Education and Experience

High School Diploma or equivalent  1-3 years of medical reception experience in dermatology is required.

Knowledge, Skills and Abilities

Must be detail oriented. Must have excellent communication skills and the ability to communicate effectively orally and in writing. Demonstrated leadership experience. Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change. Proficiency with Microsoft Word, Excel and PowerPoint is required. Must be able to learn new software quickly. Must possess excellent leadership, organizational, and computer skills. Ability to work effectively and cooperatively with staff, patients, and providers. Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team. Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness. Ability to maintain confidentiality of information.
