Job Description

The Executive Assistant serves as Office Manager for the Office of Academic Affairs and assists the Executive Vice President for Academic Affairs in day-to-day operations, communication, and problem-solving. He or she also manages multiple annual and semi-annual projects including graduation, the faculty promotion and multi-year appointment process, faculty credentials updates, and other similar tasks. Required Qualifications Associates degree and experience in a comparable office environment. Preferred Qualifications Bachelors degree, effective organizational skills, effective office management skills, effective communication skills, understanding of academic area of the University, high level of computer skills, demonstrated ability to complete multiple assignments, meet deadlines, and effective interpersonal skills. Physical Demands Job Duty Job Duty promote the mission of Lincoln Memorial University to all faculty, staff, students, and the community at large; Job Duty promote effective working relationships among faculty, staff, and students; Job Duty participate in University committees; Job Duty create text and numerical documents using Microsoft Office Programs; Job Duty design and revise necessary forms, and post informational notices to the Academic Affairs Bulletin Board and MyLMU; Job Duty process financial requests and other data related to VPAA; Job Duty assist VPAA with preparing and tracking budget information; Job Duty offer support to administrative assistants and deans that fall under VPAA; Job Duty schedule regular meetings with commencement committee, beginning approximately eight weeks prior to commencement to allow review and deadlines; Job Duty process Fall/Spring Commencement platform party regalia rental (e.g., trustees, special speakers, etc.), and purchase honorary hood(s) for honorary degrees; Job Duty prepare, print, assemble, and distribute the Fall and Spring Commencement program books; Job Duty for each commencement, update the faculty processional placement in processional order, according to rank and tenure at LMU; Job Duty mail letters to students (list received from Registrar) at end of each semester for: probation and suspension notification; Job Duty distribute Dean s List (received from Registrar) to each school s Dean or designee; Job Duty record and publish minutes for: all University Faculty meetings, all Academic Council meetings and any other meetings as required; Job Duty coordinate revisions of the Adjunct Faculty Handbook; Job Duty per SACSCOC requirement – secure official transcripts for all faculty files, including adjunct faculty; Job Duty confirm all related course enrollment for prorating pay, check all tuition remission enrollees to deduct from enrollment figure, calculate monthly pay, and submit to Human Resources the Fall, Spring, and Summer adjunct pay requests for undergraduate and graduate adjuncts and any other related pay requests (e.g. supervisors and staff adjuncts); Job Duty ensure all course syllabi are posted (electronically) each semester to the Academic Affairs Bulletin Board; Job Duty collect updates & format annual posting of the undergraduate Catalog; Job Duty serve as editor for Academic Affairs web page components; Job Duty coordinate and distribute all necessary documents for meetings; Job Duty maintain strict confidentiality regarding University matters; Job Duty perform other duties as assigned Posting Detail Information
