The estimated annual pay for this position is $79,615.77 to $97,917.15. The rates shown include a 6% premium pay (base= $-$ plus 6%). This reflects only a portion of the total compensation package for this position. Additional compensation may be available for this role through differentials, incentives, and bonuses. In addition, this position may be eligible for participation and company contributions into the Deferred Compensation Plan.
Job Description:
The Practice Manager is responsible for overseeing the day-to-day operations the outpatient clinic. Their primary role is to ensure the smooth and efficient functioning of the practice by managing administrative tasks, supervising staff, and implementing policies and procedures. They also foster a positive work environment by promoting teamwork, professionalism, and open communication among staff members.
The ideal candidate for the position should possess the following qualifications and experience:
Previous experience in a healthcare workplace as a leader or manager, preferably in the outpatient setting. This includes strong knowledge of healthcare regulations, compliance, and industry best practices. Excellent leadership and interpersonal skills. Exceptional organizational and time management abilities. Proficiency in using reporting software to provide accurate and timely reports to upper management, including experience in Microsoft products (Excel, Word, PowerPoint, Teams). Strong analytical and problem-solving skills to address and resolve complex workplace problems. Strong attention to detail and excellent writing skills. Ability to effectively communicate with patients, healthcare professionals, and staff. Excellent organizational skills and the ability to work in a fast-paced environment. Commitment to patient care, privacy, and confidentiality. Knowledge of electronic health record (EHR) systems.By possessing these qualifications and experience, the candidate will be well-equipped to handle the array of scenarios that occur in a high-volume outpatient practice.
Responsibilities:
Recruit, hire, and train administrative and support staff members, ensuring adequate staffing levels. Provide ongoing supervision, performance feedback, and coaching to staff members. Develop and implement staff schedules, ensuring adequate coverage for all practice activities. Conduct regular staff meetings to disseminate information, address concerns, and facilitate collaboration. Ensure compliance with all legal, ethical, and regulatory requirements governing the practice. Implement and enforce policies and procedures related to patient privacy (HIPAA compliance), medical records management, and data security. Maintain accurate and up-to-date documentation, records, and reports as required by regulatory bodies or internal policies. Maintain a high standard of customer service, addressing patient inquiries, concerns, and complaints in a timely and professional manner. Monitor patient satisfaction and implement measures to enhance the patient experience. Develop and maintain positive relationships with patients, physicians, and other stakeholders in the community. Collaborate with the administrative leaders to develop strategic plans and goals for the practice. Identify growth opportunities and recommend strategies to expand the practice's patient base and services. Train staff on the effective use of technology systems and troubleshoot any issues that arise. Collaborate with other healthcare professionals, such as doctors, nurses, and medical assistants, to coordinate patient care. Answering Inquiries: Respond to patient inquiries, whether in person, over the phone, or via email. Provide information about clinic services, appointment availability, insurance coverage, and general inquiries related to the practice. Patient Satisfaction: Strive to ensure a high level of patient satisfaction by addressing patient concerns, providing excellent customer service, and maintaining a compassionate and empathetic approach. Adherence to Policies and Procedures: Follow established clinic policies, procedures, and protocols to maintain efficient operations and compliance with regulations and standards .Based on the provided job responsibilities and additional skills/qualifications, the employment standards for the Practice Manager position include:
Bachelor's degree in healthcare administration, business management, or a related field (Master's degree preferred). Exceptional interpersonal and leadership skills to collaborate with staff, patients, and other stakeholders. Excellent communication skills, both written and verbal, to interact with patients, staff, and physicians. Experience in managing staff, including recruitment, training, performance evaluation, and staff development. Familiarity with strategic planning processes to set goals and objectives for the outpatient practice. Proven experience in healthcare administration, preferably in an outpatient or ambulatory care setting. Familiarity with outpatient clinic operations, workflows, and regulatory requirements. Communication Skills: The candidate should have excellent telephone skills and be able to effectively communicate with patients and visitors both in person and over the phone. Strong customer service skills are essential for providing a positive experience to patients and addressing inquiries. Attention to Detail: The candidate should have a keen eye for detail to accurately maintain patient records and accounts. Attention to detail is also important for checking inventory levels, placing orders for supplies, and scheduling equipment service and repairs. Multitasking and Time Management: The role requires multitasking abilities to handle various responsibilities simultaneously. Prioritizing tasks, keeping providers on schedule, and responding to emergencies in a timely manner is vital.
