Purchasing Specialist

SUMMARY

Performs functions to support the procurement of supplies and equipment for the district and assists in the responsibilities of the Purchasing/Warehouse Coordinator. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Performs data entry functions for processing purchase orders in the district wide financial system Serves as main support for questions for procurement of supplies and online purchasing Procurement of supplies for warehouse inventory Procurement of goods and services through purchasing cooperatives and district formal bids and proposals Prepares purchase orders and either faxes, emails or mails to vendors and/or purchasing cooperatives Enters receiving information in financial accounting system for all purchase orders received at the Warehouse location for all campuses and departments Process warehouse inventory incoming requisitions from campuses, post all receiving and distribution transactions related to warehouse inventory Maintains and updates warehouse inventory records including year-end reconciliation to general ledger, review packing list to purchase order for accuracy Assists Purchasing Coordinator with on-line ordering for warehouse inventory and issuance of purchase requisitions/orders for items from formal bids/proposals Weekly reconciliation for payroll attendance times and requests for absences Maintains and logs fixed asset tags for district-wide equipment items for data entry into database Prepares fixed asset delivery vouchers for fixed assets to all campuses and departments Maintains district-wide textbook inventory receiving, distributions and returns for all campuses and generating textbook labels for inventory control of newly adopted textbooks Help desk for questions regarding placing warehouse requisitions for inventory supplies, fixed assets and textbooks Performs other duties as assigned
