JOB SUMMARY
Performs a variety of technical accounting tasks and secretarial duties in support of the work of the Athletics Department. Work duties include analyzing, managing and maintaining the middle school Athletics budget; preparing payroll, completing various departmental forms and correspondence, acting as liaison to vendors, athletic managers, administration, and employees. Provides support for middle school athletics and extracurricular programs and contract management. Issuances of contracts for coaches, coach pay, and tracking coach roster for all sports, including required certificates. May require travel to school sites, and work outside of normal business hours to support activities and events.

ESSENTIAL DUTIES/RESPONSIBILITIES

Performs budget management operations for the Athletics Department, including payments to vendors/consultants, ordering of supplies, facility and department materials; maintenance of final records for multiple budget accounts; processing invoices; and depositing checks. Performs regular budget reconciliation of all expenditures and provides required reports. Prepares purchase orders, requisitions, disbursement authorizations, and other financial forms related to facility supplies, training materials, equipment, etc. Prepares payroll for submission from Athletics areas. Reviews Payroll forms received from Athletic Directors. Acts as first point of contact to the public in responding to inquiries within the Athletics Department. Issues contracts for coaches, and club advisors for extra-curricular activities at high, middle, elementary, and special schools. Maintains coaching roster for each sport by season, and rosters for all clubs and activities. Prepares letters, correspondence and reports. Collaborates with other departments as appropriate. Participates in and presents at monthly meetings, events, professional development and summer session weeks. Performs other related duties as assigned within the same classification or lower.

Education

Associate's Degree in Accounting, Business, or related field of education from a regionally accredited college or university required; Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.

Experience

Three (3) years administrative experience with proven knowledge and application within financial/bookkeeping, human resources data systems or related field required; Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.

Knowledge, Skills, Abilities and Other Characteristics

Knowledge of the Board of Education organization, operations, policies and procedures is desirable. Knowledge of Maryland State Department of Education (MSDE) and Maryland Public Secondary Schools Athletic Association (MPSSA) guidelines. Excellent organizational, analytical, and planning skills. Excellent public relations, interpersonal and communication skills. Ability to effectively manage multiple priorities, exercise initiative and independent judgment in completing tasks. Demonstrated ability to use accounting systems. Experience with Advantage Financial highly desirable. Ability to ensure accurate payment to recipients. Ability to develop charts and graphs. Demonstrates ability to effectively work and communicate with diverse populations. Demonstrated proficiency with business technology applications (e.g. Video/Web Conferencing, Microsoft Office Suite -Word, Excel, Outlook, and/or PowerPoint preferred). For new permanent secretarial/clerical/technician hires, a minimum score on a pre-employment assessment is required.

Licenses and Certifications
Employee must retain active licenses, certifications, and enrollment as a condition of employment.

Hold or be eligible for Driver's License (DL) Class C Non-Commercial issued by Maryland or State of Legal Residence (MVA/DMV) required; and Daily access to reliable transportation.

Driving Requirements

CAREER LADDER REQUIREMENTS

Qualification Requirements for Employment in Higher Grade as a New Hire or Transfer requires:

Two (2) additional years successful experience required. Achievement of Professional Certification or Certificate in Business, Accounting, or Technology, or Completion of coursework or workshops leading towards professional certification, as determined by the supervisor required.

Eligibility for Consideration for Advancement from Lower Grade to Higher Grade requires:

Two (2) years continuous successful experience in the position at the Lower Grade level. Mastery of all responsibilities and duties of the position. Evidence of completion of additional training that may be recommended by supervisor and/or participation in approved professional development programs or courses, approved in advance by the supervisor. Successful completion of a minimum of one professional development within the last two years is required. Successful completion of job specific professional developments identified on the job description, performance evaluations and/or the supervisors documented recommendation are required. Achievement of identified goals as they relate to the needs of the district and as established by the supervisor. Consistent maintenance of an effective and orderly work environment. Consistent compliance with general office procedures such as standards contained in the AACPS Employee Handbook; demonstration of discretion and excellent customer service; regular and punctual attendance; and building dress code, including wearing AACPS ID badge. Above Satisfactory overall job performance for the two most recent consecutive years of Performance Ratings. Letter of Recommendation written by the supervisor.
