Customer Service Representative

Primary Responsibilities:

  • Provide initial responses to customer inquiries via phone calls and emails, ensuring prompt resolution or escalation to appropriate staff.
  • Confirm orders, ensure accuracy, and facilitate necessary follow-up actions.
  • Cultivate and maintain strong customer relationships.
  • Coordinate with logistics, accounting, and delivery teams to optimize customer satisfaction.
  • Collaborate with production/manufacturing for order planning and scheduling.
  • Interface with distributors of various product lines.
  • Prepare estimates, quotes, and pricing for customers.
  • Liaise across departments to support customers with quotes and orders.
  • Research product lines to assist in customer inquiries.
  • Address technical support questions effectively.
  • Attend trade shows as needed.
  • Occasionally travel locally for business purposes.
  • Enter orders and maintain customer databases accurately.
  • Perform general office duties including maintaining inventory and ordering supplies, as well as handling incoming calls.

Education and Experience:

  • Preferably holds an Associate's Degree; alternatively, possesses 2-3 years of customer service experience in HVAC or technical fields.
  • Proficient in Microsoft Office and comfortable with manufacturing software or order entry systems.

Skills:

  • Demonstrates excellent phone etiquette and remains composed under pressure, adept at handling customer objections.
  • Communicates effectively across all levels, internally and externally.
  • Detail-oriented with strong organizational and prioritization abilities.
  • Exhibits solid problem-solving and analytical skills.
  • Capable of working independently and collaboratively within a team.
  • Proficient in using computers for various tasks.
