Job Summary:



The responsibilities of this position comprise organization, management, and reporting of student and faculty credential spreadsheets to ensure regulatory compliance with State and Facility requirements before students and faculty (full time and adjunct) are granted access to clinical facilities. Coordination of credentialing documentation is maintained in electronic filing systems as designated by the School of Nursing

Qualifications:

Bachelor's degree or equivalent combination of qualifying work experience and education.  One year of training and/or experience in medical credentialing, document preparation and maintenance of databases or related experience.  Proficient in Microsoft Office Suite (e.g., SharePoint, Teams, OneDrive, Word, Excel, PowerPoint, Access)   Two years of administrative experience. Bachelors degree, training and/or experience in healthcare, credentialing, document preparation and maintenance of databases. Strong communication and interpersonal skills with the ability to interact and work with individuals at all levels of the school, university and community. Excellent organizational skills and ability to prioritize work and resources. Candidates must be legally authorized to work in the United States. Visa sponsorship and relocation allowance is not available for this position. Report to work obligations to support the department and may require work during HPU’s winter break, if necessary. This position may be considered an essential position with report to work obligations depending on the type of emergency, campus closure, or evacuation.  Must meet training and background check qualifications and comply with the Protection of Minors policy. Upon hire, candidate must have reliable personal transportation to facilitate travel between to all HPU worksites and other locations as required by the position. This includes a valid driver’s license and a personal vehicle that is legally registered and insured. This position may also require driving responsibility for an HPU vehicle. Due to driving responsibilities, you must meet training and background check qualifications and comply with HPU’s Vehicle Driving policy. Able to work any shifts and extended hours. Successful candidate will be able to work in an environment that utilize excellent time and stress management skills.
Key Responsibilities/Essential Job Functions:

1. Clinical Placements of Student in both graduate and undergraduate nursing programs (65%) Coordinate with the BSN Clinical Coordinator on lists of clinical placement requests for entry into Hawai'i State Center for Nursing placement software and with students, academic & adjunct faculty to obtain required credentialing documents.  Coordinate all background checks (e.g. BLS certifications, immunizations), drug testing, and safety training requirements for all nursing students. Data entry for all student placement systems in the Centralized Clinical Placement System (CCPS). Monitor and report accepted/re-proposed placement requests in CCPS. Creation of progress reports to describe compliance and missing data for students or faculty.  Conduct audits of required documents for every student in every clinical placement. Maintenance of relevant databases and files and creation and maintenance of forms. Coordinate with clinical facilities each semester to update any student/faculty requirements for entry to their facilities. Coordinate with Clinical Director in the graduate program on tracking clinical practicum placements of online graduate students.
 2. Faculty/Adjunct Clinical Onboarding (15%) Oversee the onboarding requirements for clinical adjuncts in collaboration with the clinical coordination team includes but not limited to scheduling interviews, disseminating CVs to appropriate clinical course coordinators for review, creating a checklist for required documents, facilitating signature of pertinent documents, and tracking the progress and process of each applicant through different HR departments.  Coordinate background checks (e.g. BLS certifications, immunizations), medical license verification, drug testing, and safety training requirements for all faculty. 
 3. Partnerships (15%) Manage the Memorandum of Understanding (MOUs) of all the nursing programs in collaboration with the administrative assistants and the clinical team. Attends the CCPS meetings and other meetings related to clinical coordination. Report on progress, challenges and successes at faculty meetings and as requested by the Dean or designee Assists the administrative assistants in the School of Nursing with meetings related to clinical coordination. Collaborate with the BSN academic adviser to ensure new student clinical requirements are met.
4. Performs other related duties as assigned (5%) Actively participates as an effective member of team by completing assigned duties, accepting additional assignments or reassignments.  Lead process improvements in the management of the clinical coordination.
