Job Summary: This position involves functions directly related to company-wide banking tasks and working closely with our accounting and finance teams, as well as members of Senior Staff. These responsibilities include but not limited to ensuring proper funding of corporate and store-level accounts, daily and monthly reconciliations, paying company invoices and taxes in a timely manner, and preparing daily cash position reporting and cash forecast.


Essential Job Functions:

  • Prepare the daily spreadsheets that list the funds to be swept or sent via ACH and import to the banking website.
  • Pay all state and federal taxes on a timely basis.
  • Pay approved invoices via wires or ACH for vendors we are required to pay electronically.
  • Reconcile various accounts on a daily & monthly basis and posting entries to General Ledger as needed.
  • Responsible for completing wire transfers as necessary.
  • Monitor fraudulent activity/positive pay file items daily to see if any exceptions need to be approved or denied.
  • Prepare daily banking reports for the CEO, CFO, Vice President of Finance and Controller that includes prior day’s balancing information, daily interest rates, and ending revolver/cash position information.
  • Maintain 13-Week Cash Projection for members of Senior Staff.
  • Review the corporate banking monthly analysis fee statements and secure refunds on any overcharges.
  • Review the corporate bank analysis fee statement.
  • Research check clearings on Accounts Payable, Benefit, and Worker’s Compensation accounts and place stop payments if necessary.
  • Maintain and archive banking papers.
  • Balance the disbursing account report and send payment information to the Accounts Receivable team (credit card totals, pharmacy and vendor deposits, WIC, coupons, lottery, etc.).
  • Run store cash reporting and determine how much to sweep from all store accounts daily.
  • Post ledger entries and balance the ledger to the concentration bank account and other corporate level accounts across various entities daily.
  • Working with outside vendors and Accounts Receivable to set up incoming payments via ACH.
  • Working with company employees to set up direct deposit reimbursements via ACH.
  • Attend on-site work during normal business hours, in the typical work week, as well as extra time as needed to fulfill job duties through regular attendance.

 

Qualifications:

  • High School Diploma/GED required.
  • Previous experience in accounting and/or banking, preferred.
  • Basic knowledge of debit and credit booking principals.
  • Experience with Microsoft Office Suite (Word, Excel, Outlook).
  • Must be well organized, dependable, maintain the strictest confidentiality and exhibit professional conduct.
  • High level of attention to detail and accuracy, and work effectively under strict deadlines.
  • Ability to understand and follow verbal and/or written instructions, perform routine and repetitive tasks and have constant contact/interaction with various levels of individuals daily.
  • Ability to attend on-site work during normal business hours, in the typical work week, as well as extra time as needed to fulfill job duties through regular attendance.
