The new University of Iowa Health Care North Liberty Campus will open in the Spring of 2025. This 469,000 square foot facility will be home to UI Health Care's nationally recognized Orthopedics service line, offering comprehensive, coordinated, and accessible care across the outpatient, inpatient and surgical venues. These state-of-the-art clinical facilities will also include a full-service community imaging center, laboratory services, physical therapy, retail pharmacy, and emergency department as well as an array of support services. The facility has been designed to support a superior patient and staff experience; excellence across our patient care, teaching and research missions; convenient access to services; and engaging community partnerships. The Clinic Services Coordinator will support the Department of Orthopedics by supervising all frontline staff and operations. This position will be responsible for multiple locations. Key areas of responsibility include providing patient access services to UI Health Care, communicate/collaborate with internal and external constituents, operations and performance standards, human resource management, and financial management. Duties to include:

Patient Access Services to Clinical Department
  • Coordinate all scheduling and check in/out for the Department of Orthopedics Outpatient Clinics for Main Ortho, Ortho South, and UI Sports Medicine locations.
  • Develop training materials, tip sheets, and reference materials for the clinic and PAC scheduling teams.
  • Collaborate on development and implementation of decision trees in EPIC Cadence to facilitate the new patient scheduling process.
  • Analyze productivity metrics for front line staff, review workflow, and create improvement processes for the team
  • Schedule patient appointments and tests and coordinate appointments with other University of Iowa Hospitals and Clinics (UIHC) departments utilizing the EPIC systems to check and verify appointment availability, always assuring compliance with established guidelines.
Human Resources Management
  • Assist Manager to hire, develop, and manage the performance of outpatient front desk staff across locations at Main Ortho, Ortho South and UI Sports Medicine. Ensure staff are compliant with UI policies, procedures, and required compliances related to their position duties. Develop, manage and monitor the new employee onboarding and training program.
  • Assist Manager to manage staff performance with monthly one-on-one meetings, regular feedback, and tracking progress on goal or projects. Facilitate annual performance reviews and goal setting for front desk Merit and P&S employees.
Operations and Quality Standards / Improvement
  • Recommend best practice workflow, process improvement and training activities for Orthopedic Clinical department. Generate reports, provide analysis on performance of clinic, staff and patient services. Recommend action plans for performance improvement, patient satisfaction, patient access, and financial improvement.
Patient Satisfaction / Service Excellence
  • Train staff on ways to enhance the patient experience.
  • Member of Department Patient Experience Committee to work on process improvement.
Financial Management
  • Make recommendations for cost saving measures for clinic operations.
  • Make recommendations and implement processes to increase patient visit volumes with changes to provider schedules or templates.
  • Manage payroll for front desk staff, limiting overtime accrual and ensure use of earn comp time during fiscal year to avoid large pay outs.

Education Requirements:

Bachelor's degree or equivalent experience and education

Required Experience:
  • Leadership experience, including the management of staff
  • 3 years of experience in a frontline health care setting
  • Experience in an Orthopedic setting
  • Excellent written and verbal communication skills
  • Excellent customer service skills
  • Ability to organize and prioritize multiple tasks on time and maintains quality standards
  • Experience working with Microsoft Office, EPIC, and Excel
  • Attention to detail
Desired Experience:
  • Knowledge of institutional policies, processes and forms
  • Ability to make decisions requiring interpretation and judgment
  • Ability to gather, analyze and display data in appropriate format and keep accurate records
