POSITION SUMMARY:

The Human Resources Administrator performs administrative and advanced project management duties for the VP, People & Culture, and other members of the executive leadership team as needed. Prioritizes and handles heavy work volume and handles routine matters to minimize interruptions and enhance efficiency of the VP, People & Culture. Will be involved in work for projects and tasks related to the Human Resources departments. Handles a high level of confidentiality with assigned work. Must be technology savvy in navigating duties efficiently and in a timely manner. May supervise the work of others. This position requires strong initiative and a high level of autonomy due to working under very minimal supervision.

KEY ROLES & ESSENTIAL JOB RESPONSIBILITIES

  • Manages the VP, People & Culture calendar, including scheduling meetings, appointments and travel arrangements while exercising discretion in committing time and evaluating needs.
  • Assists and supports the VP, People & Culture and other members of the executive leadership team in preparing for meetings; to include electronic scheduling; keeping track of meeting progress and follow-up items; and preparing and revising correspondence and other documents, as necessary.
  • Alerts the VP, People & Culture of upcoming commitments and responsibilities, time sensitive and priority issues and ensures appropriate follow-up.
  • Assists the VP, People & Culture in the development of PowerPoint presentations and project communication tools, reports, documents, agendas and other special projects.
  • Attends meetings as assigned and takes notes of discussion; prepares drafts and summaries of meeting minutes and stores appropriately.
  • Tracks the progression of department projects and communicates that to the VP, People & Culture regularly.
  • Assists VP, People & Culture and other members of the executive leadership team with special projects and other duties as assigned.
  • Performs tasks related to the hiring, onboarding, and training of new hires.
  • Assists with department data entry and maintenance of personnel documents.
  • Encourages BGCGA “Rules of Engagement” and incorporates into day-to-day interactions with staff.


RELATIONSHIPS:
  • Internal: Maintains close, daily contact with the VP, People & Culture and other members of executive leadership.
  • External: Maintains contact as needed with external community groups, schools, and others to assist in recruitment efforts.
EDUCATIONAL QUALIFICATIONS & SKILLS
  • High School Diploma or GED required
  • College Degree preferred or equivalent experience and knowledge
  • 3 years prior experience supporting an executive leader
  • 3 years prior experience working in Human Resources
  • Highly proficient in Microsoft Office, particularly Word, Excel, and PowerPoint
  • Experience using ADP HRIS software preferred
  • Highly detail oriented with exceptional organization and time management skills
  • Outstanding writing, editing, and proofreading skills
  • Ability to take the initiative, anticipate needs, and exercise sound judgement


ENVIRONMENT & WORKING CONDITIONS

Work is performed in our Program Services Center-Administrative offices. Travel between BGCGA Branches, schools and community sites is required
