Job Type Full-timeDescriptionJOB SUMMARY AND SCOPEFront office staff position responsible for all aspects of customer service and chart maintenance.ESSENTIAL JOB FUNCTIONSUtilizes transcription service portal for document management.Performs required edits as necessary or at physician request.Monitors for "on hold" documents.Assembles charts for coding assuring all required documents are present.Assigns any identified deficiencies to the provider.Scans paper documents to account using approved naming convention.Monitors and updates Task QueuesAnswers phone and responds to associated customer service requests.Processes verbal requests for medical records from authorized staff members.Pulls charts for next day's ASU patients as scheduled.Picks up Department mail, completed records and documents and distributes within the Department.Uses Electronic Birth Certificate Software (DAVE) to abstract, print and transmit birth certificates to State office of Vital Statistics within 48 hours of birth (excluding weekends)Prepares paternity papers as appropriateTypes complimentary birth certificatesAssists Health Information Director in gathering information for special studiesAssists in pulling records for medical record reviews and/or auditsMaintains the Death File.Assuring deceased patients are removed from active files and placed in Death FilePerforms filing, scanning, chart maintenance and other department functions as requiredMaintains working knowledge of release of information protocolsReliable attendance and punctuality, including observing appropriate break times and extending a scheduled shift when necessary to meet patient demands. Performs duties in a safe manner, in compliance with all safety policies and procedures.Complies with the Code of Conduct and all appropriate policies and procedures.Other duties, as assigned, that are relevant to the position and department.*DECH is an equal opportunity employer.RequirementsExperience:High School diplomaPrevious hospital experience desirable with computer literacyKnowledge of medical terminology helpfulExperience with general office equipment: photocopier, fax machine, etc.Detail OrientedAbility to perform in a fast-paced environment and manage time effectively.Ability to maintain the strict confidentiality of patient information in accordance with HIPAA, Maine State law and DECH policyAbility to communicate and cooperate with physicians, co-workers, hospital employees and the public.
