Job Description

Clerical Assistant

Duties and Responsibilities:
  • Collecting hard copy documents stored in multiple locations on the site and sort them by type and department.
  • Work with each department's designated contact person to decide which documents need to be digitized and which ones need to be designated shred.
  • Work with each department's designated contact person to determine which system/location the electronic copies are to be stored in and input them into the correct system/location.
  • Shred and dispose of all documents designated shred.
  • Meet weekly with the site representative (Maintenance Manager) to review and discuss progress, bottlenecks and/or support needed to keep the process moving efficiently and effectively.
  • Comply with all safety policies and procedures as you complete your daily tasks.


Qualifications:

• High School Diploma

• Highly organized and detail oriented

• Ability to drive continuous progress on the tasks

• Proficiency with MS Office suite (Word, Excel, PowerPoint).

• Team player with good communication skills

Preferred

• Experience working with document management systems

• Experience working with SAP

• Experience with recognition of the different file types e.g. P&ID's, Drawings, Manuals ect.
