Procurement Department

The Procurement team is responsible for securing the material equipment Vantage's data centers require to function. The team leads these efforts from conception through commissioning, working with Sales, Operations, New Site Development, and Engineering along the way. Procurement also works closely with vendor partners to come up with a vertically integrated design, and we manage these partners to deliver the projects on schedule and budget. Vantage is unique in that our technical staff is given the responsibility and authority to directly drive the process. Our internal team can align long-term operational sustainability with value engineering and cost metrics to deliver products aligned with corporate goals. This approach empowers each member of the team to drive high- impact decisions and even more impactful results.

Position Description

In an Automation System Procurement Analyst, Vantage is looking for a highly motivated and experienced, self-starter to be an integral part of a team that manages Automation System Material & Hardware, and corresponding supply chains. The Procurement Analyst will play a pivotal role in supporting the Automation System Procurement Manager to ensure the organization's technological needs are met efficiently, cost effectively, and in alignment without business objectives. In this role, you will be responsible for record keeping, assist in obtaining vendors submittals, maintaining product specifications, working with vendors, to ensure specifications are adhered to in accordance to our company process, monitor and managing contracts, prepare status and tracking reports for the company, support the Procurement Managers and Director in their daily tasks.

As a procurement analyst, you will be required to support numerous projects simultaneously. Regular collaboration and coordination will be required with our external supply chain partners and numerous internal teams such as IT, Automation, Construction Cost & Finance, Accounting, Construction, Operations, and Legal. Occasional travel to Vantage Data Center sites & Regions may also be required.

Responsibilities

  • The individual will be continuously working with the procurement team to provide needed assistance daily to ensure the department meets and exceeds its goals with the company.

  • Individual will be a self-starter and with the ability to manage and assist multiple single line diagrams, product specifications and driving OFCI Equipment submittals to closure (approval)

  • Successful candidate will understand RFIs and RFQs for the sourcing of equipment for low voltage switchgear, medium switchgear, transformers, electrical skids, CRAH's, chillers, generators, UPS's, and other data center equipment systems as needed.

  • Coordinate with vendor(s) on continuous quality improvement

  • Support the implementation of procurement strategies for Automation System Equipment, Components, and services in line with organizational goals.

  • Support the RFP process for Automation System equipment including but not limited to control panels, panel components, & controls devices.

  • Assist in the review of contracts, construction documents, specifications, scopes of work, engineered shop drawings, performance data, sequences of operation, and bills of material to identify scope gaps and inconsistencies related to design and development.

  • Manage and track equipment status with the vendors such that all scheduled dates set by the construction schedules are met.

  • Serve as a liaison between our supply chain partners and internal stakeholders to communicate changes in product lead-times and costs.

  • Support Procurement Managers and Finance / Accounting with invoicing issues

  • Maintain and develop supplier relationships.

  • Analyze project schedules for on-site equipment delivery dates.

  • Support Finance / Accounting with invoicing issues, cash flow forecasts, and budget reconciliation

  • Drive project-level tasks and milestones assigned by the project management team.

  • Assist the end-to-end procurement process, including requisition, purchase order issuance, receipt, and invoice reconciliation.

  • Ensure compliance with procurement policies, procedures, and regulatory requirements.

Duties

  • Collaborate with stakeholders to ensure clarity of the specifications and operational requirements

  • Work with the Finance to ensure all purchases have appropriately been costed to a project

  • Help Coordinate the approval and release of the necessary equipment.

  • Continue to investigate and work with vendors to make sure their products are best suited for Vantage.

  • Support open and transparent communication with project teams for project delivery success

  • Be accountable for responsibilities to provide the proper service to Vantage and their customers.

  • Support inventory planning efforts and forecasting.

Job Requirements

  • Bachelor of Science, Engineering, Business or Supply Chain Management, is preferred

  • 1-3 years, or more, years of experience in a supply chain, procurement, with a focus on Automation Systems equipment, and components.

  • Knowledge and understanding of HVAC, electrical, network, and control wiring diagrams: knowledge of industry standard communication protocols such as Ethernet, Modbus, and BACnet

  • Data Center or industrial equipment experience is strongly preferred.

  • Technical aptitude of network and automation systems

  • Experience with vendor and supplier contracts

  • Proficiency in procurement software and tools, as well as enterprise resource planning (ERP) Systems

  • Aptitude to learn quickly and drive things to closure autonomously is required.

  • Strong business acumen and strong commercial background is required.

  • Knowledge of sourcing and procurement techniques is required.
