New Business Manager (PR Agency)
Tampa or Miami, FL
· Hybrid (3 days in office)
We’re a fast-growing PR agency, and more new business opportunities are coming our way than ever before. We need someone to keep that growth organized. As our New Business Manager, you’ll make sure no pitch, proposal or deadline falls through the cracks. You’ll run the system behind every new client win: tracking outreach, keeping proposals on schedule and getting our executives ready for every first conversation.
This role is ideal for someone with a mix of executive assistant and project management
experience:
someone who is comfortable supporting senior leaders and who also likes owning a process, managing timelines and keeping a team on track. You’ll work directly with agency leadership and play a central part in how we grow.
What you’ll do
Own the new business process from first outreach through proposal submission, including the tracking system, templates and handoffs, and improve it as our pitch volume grows
Track every outreach email: who sent it, who received it, when it went out, whether there was a reply, and make sure every follow-up happens
Keep a single up-to-date tracker of every proposal and RFP, showing what’s due, when it’s due and who owns it, and assign owners where needed
Confirm that every proposal is submitted on time and received, and flag or escape anything at risk of slipping
Schedule first calls with prospective clients by coordinating calendars on both sides, and brief our executives beforehand with the background they need
Send leadership a weekly report on what went out, what’s due, what’s waiting on a response, and where deadlines or capacity are at risk
Keep contacts, proposal versions and call notes organized so anyone on the team can find what they need
What we’re looking for
4+ years of experience combining executive support and project management, such as an executive assistant who has managed projects, or a project coordinator or manager who has supported senior leaders. New business, proposal or agency experience is a strong plus
Experience building or running a tracking process that leaders relied on
Strong organization and follow-through. You set priorities across competing deadlines without waiting to be asked
Polished, confident written communication with senior executives and prospective clients
Experience scheduling across multiple executive calendars
Comfortable with spreadsheets or a CRM, plus Outlook or Google Workspace
Discretion with confidential client and business information
