We are currently seeking a skilled and detail-oriented Document Custodian to join our team at the Orlando office. The Document Custodian will be responsible for managing and maintaining the firm's legal documents, ensuring accuracy, accessibility, and compliance with regulatory requirements.

 

Responsibilities:

Oversee the organization, filing, storage, and retrieval of legal documents (original notes) and preparation of bailee and attestation letters and updating internal and client records.

Assisting with outbound mail via firm’s mail application and the handling of inbound mail and scanning into internal records and distribution.

Ensure the accuracy, completeness, and integrity of all documents by conducting regular reviews and audits.

Stay up-to-date with industry regulations and legal requirements related to document retention, confidentiality, and security.

Maintain detailed records of document transactions, including tracking document versions, revisions, and approvals.

Respond to requests for document retrieval and dissemination from attorneys, staff, clients, and external parties in a timely manner.

Utilize document management software and tools effectively to streamline processes, improve efficiency, and enhance collaboration.

Maintain strict confidentiality and discretion when handling sensitive and confidential information.

Work closely with attorneys, paralegals, and other team members to support case preparation, trial readiness, and client representation.

Identify opportunities for process improvement, efficiency gains, and cost savings within the document management function.

What You’ll Bring

 

To excel in this role, you must meet the following requirements:

Bachelor's degree in Business Administration, Legal Studies, or related field preferred.

Minimum of 2 years of experience in document management, preferably in a legal or professional services environment.

Strong attention to detail and organizational skills.

Excellent written and verbal communication skills.

Proficiency with document management software and Microsoft Office Suite.

Knowledge of legal terminology and document retention requirements.

Ability to prioritize tasks, meet deadlines, and work effectively under pressure.

Commitment to upholding confidentiality and ethical standards.
