Overview:
The DME Intake Specialist greets customers, provides retail sales assistance and general office support for Bothwell Medical Equipment. In addition, this individual ensures that the intake process is accurate, complete, and timely.

Responsibilities:
1. Greets customers, offers assistance, directs customers to products, and advises customers by providing product information.

 

2. Processes payments including cash, checks, and credit cards.

 

3. Provides general office support by answering telephone, maintaining patient files, acceptance of referrals, verification of insurance, and data entry.

 

4. Work with referral sources to obtain medical records required for insurance purposes.

 

5. Ensures that all documents are collected and handled correctly in compliance with Medicare.

 

6. Knowledge of insurance requirements needed to process orders in order to file a claim for services and equipment.

 

7. Ability to explain insurance requirements for billable services and equipment to customers, physicians, and case managers.

 

8. Send and obtain detailed physician orders, CMNs, and authorizations as may be required by insurance.

 

9. Audit delivery paperwork, detailed orders and CMNs prior to order confirmation to ensure all insurance guidelines have been met.

 

10. Confirm delivery paperwork to create invoices.

 

11. Work “unbilled revenue” to determine what action needs to be taken to
ensure equipment becomes “billable”.

 

12. Other duties as assigned.

Qualifications:
1. Education:
  a.) High school diploma or equivalent preferred.

 

2. Licensure/Certification:
  a.) None required.

 

3. Work Experience:
  a.) 2-3 years in medical office setting.
  b.) Prior experience in customer service / retail sales.
  c.) Knowledge of health insurance claims process.
  d.) Proficiency in data entry and Microsoft Office.
