About the Role
Lifespan Medicine is seeking an experienced Operations Manager to join our team. This is a high-impact role for someone who thrives on variety and moves fast. You'll work directly with our CEO and Operations Director to understand every department of the business and use that knowledge to build the systems, processes, and documentation that let us scale. Responsibilities Learn the Business Inside and Out Develop full working knowledge of all operational departments and aspects — care coordination, programs, referrals, pharmacy, and more. Build sufficient fluency in care coordination and referral workflows to step in and directly support as needed. Build and Maintain Operational Infrastructure Develop and formalize standard operating procedures across departments to streamline daily work. Own system updates and administration across our EHR platform, project management tools, and other operational software. Create training manuals and materials to support onboarding and ongoing staff development. Monitor systems continuously and troubleshoot issues as they arise, coordinating with internal teams and outside vendors to keep everything running. Manage People and Projects Coordinate teams across three physical locations and remote staff throughout the US. Provide close, hands-on oversight of referral team workflows to ensure quality, consistency, and adherence to process. Serve as the central point of contact for cross-departmental projects, keeping initiatives moving and on schedule. Support HR functions as needed including onboarding, training, and staff development. Drive Continuous Improvement Identify opportunities for operational improvement and bring recommendations and implementation plans to senior leadership. Work to develop reporting and metrics dashboards within current systems to track organizational performance. Communicate professionally and effectively with physicians, staff, and stakeholders at every level. Be Flexible and Available Jump into any department that needs extra hands — whether due to volume, absence, or growth. Take initiative on new and evolving responsibilities as the organization's needs shift; this role is not static, and comfort with change is essential. Availability outside standard business hours, including occasional evenings, weekends, and on-call coverage, to ensure continuity of operations and client care. Skills and Experience Proven operations management experience, ideally in a fast-paced or healthcare environment. Strong project management and organizational skills, with the ability to juggle many priorities simultaneously. Demonstrated people management skills and experience developing processes from the ground up. A hands-on, "no task too small" mindset paired with the strategic thinking to see the bigger picture. Genuine curiosity and willingness to learn the full scope of the business — this role requires understanding the details before you can improve them. Comfort with a high degree of autonomy, urgency, and shifting priorities. Strong written and verbal communication skills across all levels of the organization, including clinical staff. Require Travel: Up to 35%
