Description

Position Summary

The Asset Service Coordinator keeps Qwik Pipe's equipment and fleet accurate, accounted for, and field ready. This role manages the equipment inventory, coordinates leased and rental trucks and equipment, keeps fleet records current in our telematics system, and tracks preventive maintenance so units are serviced on time. Working closely with the Service Department and field operations, the Asset Service Coordinator makes sure maintenance gets scheduled, completed, and documented, helping keep our crews safe and our water transfer operations running.

Key Responsibilities

Equipment Inventory

  • Maintain an accurate, up-to-date inventory of all company-owned, leased, and rented equipment
  • Track equipment location, status, and assignment across yards and job sites
  • Conduct regular inventory audits and reconcile discrepancies

Lease & Rental Management

  • Coordinate leasing and rental of trucks and equipment, including pickup, delivery, and return
  • Track lease and rental agreements, terms, and return dates
  • Work with vendors on availability, pricing, and documentation

Fleet Tracking & Telematics

  • Keep fleet records current in the telematics system (Samsara preferred), including adding, updating, and retiring units
  • Monitor vehicle location, mileage, engine hours, and diagnostic alerts
  • Use telematics data to flag maintenance needs and reporting issues

Fleet Maintenance Coordination

  • Track preventive maintenance schedules and upcoming service due dates for all fleet and equipment
  • Follow up with the Service Department, providing the unit information, history, and details needed to complete maintenance
  • Confirm completion of repairs and maintenance and keep service records accurate
  • Communicate unit availability and downtime to operations

Safety & Compliance

  • Understand and follow all safety and PPE requirements for being on location
  • Support compliance with company safety policies and fleet-related regulatory requirements
  • Report safety concerns or equipment hazards promptly


Qualifications

Qualifications

  • At least 1 year of experience in equipment inventory, fleet coordination, lease/rental management, or fleet maintenance tracking
  • Working knowledge of oilfield location safety and PPE requirements
  • Valid driver's license
  • Must pass a background check and pre-employment screening
  • Strong organization and follow-up skills; able to manage multiple units and deadlines
  • Comfortable with computers, spreadsheets, and fleet/asset tracking software

Preferred

  • Oilfield and/or water transfer industry experience
  • Samsara or other telematics platform experience
  • Familiarity with preventive maintenance programs for trucks and heavy equipment

Working Conditions

  • Combination of office and field/yard work, including time on location
  • May require travel between yards and job sites
  • Must be able to wear required PPE and work outdoors in varying weather conditions
