Job DescriptionJob DescriptionJob Title: Program Coordinator Reports to: Associate Director of Special Projects Job Classification: Full-Time, Non-Exempt Programs: Short-Term Residential (STR) and Halfway House (AWE)_____________________________________________________________________________________Position Summary: The Program Coordinator provides leadership and coordination for assigned residential program(s), ensuring smooth day-to-day operations, effective staff supervision, and a supportive, structured environment for participants. This role serves as a key liaison between residential staff, clinical services, medical providers, and administration to promote engagement, safety, and continuity of care. Essential Duties and Responsibilities: Coordinate program operations related to participant orientation, engagement, and stabilization, with particular focus on the first30 daysof service.Ensure timely completion, collection, and routing of required intake and program documentation.Facilitate regular house or community meetings to address concerns, reinforce expectations, and promote shared responsibility.Support program planning, activities, and outcome achievement in collaboration with leadership.Coordinate transitions, discharges, and family or approved visitor involvement as applicable.Respond to participant concerns and program issues in a timely, trauma-informed, and strength-based manner.Supervise Therapeutic Mentors and other assigned non-clinical staff, including scheduling, training, coaching, and performance management.Ensure timely completion of timecards for staff supervised to include approving timecards and time off requests.Meet with Therapeutic Mentors a minimum of once a month and document all supervision meetings.Complete Performance Reviews for Therapeutic Mentors.Participate in recruitment, interviewing, onboarding, and training of program staff in collaboration with Human Resources.Ensure staff understand and consistently implement program expectations, policies, and procedures.Review staff documentation and provide feedback to ensure quality, accuracy, and timeliness.Provide on-call support for staffing and program issues on a rotating basis.Coordinate and communicate with clinical, medical, and administrative staff regarding participant needs, incidents, and program operations.Assist with review and follow-up of Critical Incident Reports, including staff debriefing and training recommendations.Participate in Health & Safety Committee activities and support facility inspections and corrective actions.Ensure compliance with HIPAA, 42 CFR, CARF standards, and all agency policies and procedures.Promote a positive, respectful, and inclusive work environment aligned with the organization’s mission and values.Monitor and oversee program-specific operational needs, including supplies, scheduling, and staffing coverage.Complete required training, meetings, and professional development activities as assigned.Perform other duties as needed to support program effectiveness and organizational goals.Required Skills and Abilities: Strong organizational, communication, and leadership skills.Ability to manage multiple priorities in a fast-paced residential environment.Sound judgment, professionalism, and ability to maintain confidentiality.Ability to work collaboratively and independently.Education and Experience: High school diploma or equivalent required.Minimum of two years of human services experience, including experience in a residential or recovery-oriented setting.Knowledge of substance use recovery and behavioral health systems preferred.Must be at least 21 years of age.Certifications & Requirements: First Aid/CPR and Medication Aide certification required or ability to obtain.Valid driver’s license and insurance required.Ability to meet physical demands of a residential setting, including lifting up to 25 pounds and navigating stairs.Specific responsibilities, documentation timelines, and performance expectations are outlined in program procedures (SOPs), Job Expectations documents, and supervision.
