Join our Proposal Operations team, where you'll play a critical role inmanaging and coordinating proposal submissions for federal, state, and local governmentopportunities. The Proposal Coordinator ensures seamless collaboration between softwarevendors, services partners, and internal stakeholders to deliver accurate, compliant, andtimely proposal packages. This role is ideal for someone who thrives in a fast-pacedenvironment and enjoys working at the intersection of technology, partnerships, andgovernment procurement.Key Responsibilities:Proposal Coordination & Submission:• Manage the full lifecycle of proposal submissions from intake to final delivery.• Coordinate content from software, services, and channel partners to compilecohesive responses.• Review submissions for accuracy, completeness, and compliance with solicitationrequirements (e.g., RFP, RFQ, RFI).• Prepare final proposal packages for submission via electronic portals or email inaccordance with agency instructions.Partner Collaboration & Content Management:• Serve as the central point of contact for proposal inputs from OEMs, ISVs, andservice partners.• Ensure partner content aligns with opportunity requirements and organizationalstandards.• Track and manage supporting documentation such as certifications, pastperformance summaries, and pricing exhibits.• Maintain consistent communication with internal Sales, Legal, and Contracts teamsto confirm readiness for submission.Compliance & Documentation:• Verify that all submissions meet federal, state, and local procurement compliancestandards.• Ensure all required representations, certifications, and vendor documents (SAM.gov,FAR/DFARS clauses, etc.) are up to date.• Support internal audits and maintain organized proposal records within documentmanagement systems.Process Improvement & Reporting:• Assist in developing and maintaining standardized templates, checklists, andproposal libraries.• Track submission metrics and identify opportunities to improve efficiency andquality.• Support continuous process improvement efforts within the Proposal Operationsteam.Cross-Functional Collaboration:• Work closely with the Sales, Legal, Contracts, and Operations teams to ensurealignment on deadlines and requirements.• Facilitate internal reviews, gather feedback, and manage revisions to proposalmaterials.• Coordinate with the Marketing and Partner teams to ensure messaging consistencyand brand alignment.Other Duties:• Perform additional tasks as assigned, including support for special projects, partnerenablement efforts, and internal process documentation.Required Qualifications:Education: Bachelor's degree in Business Administration, Communications, English, or arelated field.Experience:• 2–4 years of experience in proposal coordination, bid management, or contractadministration, preferably in a federal IT reseller, systems integrator, or technologydistribution environment.• Familiarity with government procurement processes (federal, state, and local).• Experience managing RFP/RFQ submissions and coordinating cross-functionalinput.Skills:• Strong organizational and project management skills with exceptional attention todetail.• Excellent written and verbal communication abilities.• Proficiency with Microsoft Office, SharePoint, and CRM or proposal managementplatforms.• Ability to manage multiple deadlines and competing priorities in a fast-pacedenvironment.Preferred Qualifications:• Experience supporting technology vendors or public sector channel partners.• Knowledge of FAR/DFARS clauses, GSA Schedule processes, and public procurementterminology.• Familiarity with SAM.gov, FedBizOpps (SAM.gov Opportunities), or other public sectorprocurement platforms.• Understanding of partner ecosystems (OEMs, ISVs, resellers) within the public sectortechnology space.Key Competencies & Attributes:• Highly organized, deadline-driven, and detail-oriented.• Strong interpersonal skills with a collaborative mindset.• Ability to adapt to shifting priorities and manage ambiguity.• Proactive problem solver who takes ownership of deliverables.Compensation & Benefits:• Competitive base salary with performance bonus potential.• Pay commensurate with experience.• Comprehensive benefits package including health, dental, vision, and pet insurance.• 401(k) with company match.• Paid Time Off (PTO) and all Federal holidays off.• Hybrid work schedule (Leesburg, VA).• Career development and professional growth opportunities.About Vertosoft:Vertosoft is a fast-growing technology distributor and solutions provider specializing inbringing innovative software and IT solutions to the public sector.
