We are seeking a dynamic and detail-oriented Assistant Property Manager to join our vibrant property management team. Duties
- Assist in managing property leasing activities, including showing units, processing applications, and coordinating move-ins and move-outs.
- Support rent collection efforts through data entry, payment processing, and follow-up on overdue accounts.
- Maintain accurate records using property management software such as Yardi or OneSite, including lease agreements, tenant files, and maintenance logs.
- Ensure compliance with Fair Housing regulations, Section 8 guidelines, LIHTC (Low-Income Housing Tax Credit) requirements, and other legal standards related to landlord-tenant law.
- Coordinate property maintenance requests by liaising with vendors and facilities management teams to ensure timely resolution of issues.
- Conduct regular property inspections to monitor condition and identify potential repairs or safety concerns.
- Assist in lease negotiations and contract administration to maximize occupancy rates and revenue opportunities through upselling amenities or additional services.
- Handle customer service inquiries professionally via phone or in person, providing information about properties, lease terms, or community policies.
- Support conflict management efforts by mediating tenant concerns and resolving disputes efficiently while maintaining positive relationships.
- Prepare reports on occupancy rates, rent collections, maintenance activities, and other key performance indicators for management review.
- Uphold compliance with legal administrative procedures related to leasing documentation, filing systems, and data entry accuracy.
Qualifications
- Proven experience in property management or real estate administrative roles; familiarity with office procedures is essential.
- Strong knowledge of landlord-tenant law, Fair Housing regulations, Section 8 housing programs, LIHTC compliance, and related legal frameworks.
- Proficiency with property management software such as Yardi, OneSite, AppFolio, or similar platforms; experience with CMMS (Computerized Maintenance Management System) is a plus.
- Excellent customer service skills combined with professional phone etiquette and conflict resolution abilities.
- Demonstrated ability in negotiation and contract management to support leasing strategies and upselling opportunities.
- Solid background in office administration tasks including filing, data entry, record keeping, and document organization.
- Familiarity with property maintenance coordination and facilities management processes.
- Strong organizational skills with attention to detail for accurate record keeping and reporting.
- Ability to handle multiple priorities effectively in a fast-paced environment while maintaining a positive attitude.
