Meeting and Events Manager

The Federation of State Massage Therapy Boards (FSMTB) is seeking a Meeting and Events Planner to coordinate the planning and execution of meetings, conferences, and special events.

The ideal candidate is proactive, thorough, and thrives in a collaborative, mission-driven environment. You'll play a vital role in creating events that reflect FSMTB's commitment to professionalism, excellence, and member engagement.

Primary Responsibilities

  • Plan, organize, and execute FSMTB meetings, conferences, and events from start to finish
  • Oversee all event logistics—including venue selection, room setup, catering, audiovisual needs, décor, and transportation—with exceptional attention to detail
  • Manage relationships with hotels, vendors, and service providers to ensure quality and cost-effectiveness
  • Coordinate travel arrangements and accommodations for attendees, staff, and speakers
  • Develop and maintain detailed event timelines, checklists, and budgets
  • Support on-site event execution, including setup, registration, and vendor coordination
  • Manage meeting materials—agendas, signage, attendee packets, name badges, etc.—ensuring professional formatting and accuracy
  • Collect and organize post-event feedback to inform future improvements
  • Prepare reports, reconciliations, and documentation related to event expenses and outcomes
  • Collaborate cross-departmentally to ensure alignment with FSMTB objectives and branding
  • Handle sensitive and confidential information with discretion and professionalism
  • Maintain organized records and event files for easy reference and future use

  • Strong organizational and project management skills; able to manage multiple events simultaneously
  • Excellent written and verbal communication skills
  • Professional demeanor and ability to represent FSMTB with diplomacy and courtesy
  • Strong problem-solving skills and the ability to remain calm under pressure
  • Collaborative, positive, and adaptable—comfortable working both independently and as part of a team
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiarity with digital event management tools
  • Ability to travel domestically several times per year to support FSMTB events

Helpful Skills & Experience

  • 3+ years of experience in meeting, conference, or event planning
  • Experience managing vendor contracts and budgets
  • Background in nonprofit, association, or professional membership organization settings preferred
  • CMP (Certified Meeting Professional) designation is a plus
  • Bachelor's degree preferred
