Operations and Administrative Specialist

Resilient Asset Management is a boutique financial advisory firm seeking a highly organized and proactive Operations and Administrative Specialist to join our small but growing team. This is a full-time, contract position and is mostly remote, with a preference for candidates located in the Memphis area.
As our third team member, you will play a crucial role in the daily operations of the firm. You'll need to be an excellent self-manager, capable of handling a diverse range of responsibilities and taking initiative to improve our processes. Intermediate level use of Microsoft Excel is required, as is a desire and aptitude to build on those skills through this role. We're looking for someone who is interested in growing with the firm and has a proven ability to work well independently.
This role offers significant opportunity for professional growth, with incentives available for those interested in pursuing professional designations to pass the Series 65, Enrolled Agent (EA), and Certified Financial Planner (CFP) examinations.
Key Responsibilities:
- Administrative & Scheduling:
- Perform a variety of administrative tasks and manage firm workflows
- This includes assisting with client scheduling and directly managing Mr. Flis's professional and personal calendars.
- Accounting:
- Learn and assist with well-established, simple, and repetitive accounting workflows, including processing monthly Profit & Loss statements.
- Also be willing to attend additional training and professional education courses to improve and enhance knowledge of accounting
- Client Service:
o Provide world-class customer service, including selective weekends and holidays
o Utilize excellent written and verbal communication skills to assist clients and bolster our existing communication services.
- Short-Term Rental Management:
- Take full responsibility for the property management of two short-term residential rental units (e.g., Airbnb & VRBO) located in the firm's headquarters building.
- This includes responding to guest inquiries when Mr. Flis is unavailable, including weekends and holidays.
- Specific training will be provided for these well-seasoned and established processes.
- Marketing Support:
- Assist with the firm's digital marketing initiatives.
- You will work with the team to support our ongoing marketing efforts.
- Familiarity with LinkedIn, Facebook, and Instagram are a plus
- Other Duties:
- Be prepared to take on additional tasks as assigned in our dynamic work environment. All duties will be clearly defined with specific outcomes and definitions of success
Desired Qualifications:
- Authorized to live and work in the United States
- If residing outside of the Memphis area, willing to travel to Memphis up to 4x per year as needed.
- Four-Year Degree is required with a finance-related specialty is preferred, though not required.
- Microsoft Excel
- This program is used daily at Resilient Asset Management
- If you are intimidated by or do not like Excel, this role will be a struggle and you should reconsider applying
- Intermediate proficiency in Microsoft Excel, including VLOOKUP, Pivot Tables, Various Financial Functions, and strong formatting capabilities is required.
- The applicant will be expected to eventually have a high-level capability with Microsoft Excel, for which training will be provided, and if needed, extra course work.
- Quickbooks
- Experience with Quickbooks is a plus.
- Eventual Quickbooks proficiency will be expected
- Experience with Black Diamond Wealth Solutions a plus
Desired Candidate Qualities:
- Previous experience in a small business environment or a demonstrated ability to work independently.
- A knack for creating and improving systems.
- Experience within the Financial Services industry is a plus, as is an interest in personal finance.
- A solid work-ethic with a primacy of punctuality (being on-time), professionalism, and dedication to one's work.
