Quality Metal Carports is a local manufacturer of durable, high-quality metal structures, including barns, carports, garages, and more. We are currently seeking a highly organized, proactive Scheduling Coordinator to help streamline our scheduling process, coordinate installations, track payments, and support overall office operations.

Our goal is to maintain a consistent 3–4 week lead time on our installation schedule. However, the nature of installations can be unpredictable—weather delays, site issues, and last-minute changes are common. That's why we're looking for someone who can do more than just build a schedule—someone who can adapt quickly, communicate effectively with customers and crews, manage expectations, and de-escalate issues professionally when plans shift.

This is more than a basic scheduling role. We're looking for a self-starter with experience in dispatching, logistics, or operations who can take ownership, solve problems in real time, and help create a positive experience for both customers and the installation team. Strong customer service is essential—we want every customer to feel informed, supported, and confident in the process.

You'll play a vital role in helping us deliver not just quality buildings, but a quality experience from start to finish.

Key Responsibilities

  • Coordinate installation crews and schedules, ensuring each team has the right paperwork, materials, and clear assignments.
  • Communicate with customers throughout the process — from scheduling and site prep to follow-ups after installation.
  • Collaborate with installers and subcontractors, including Spanish-speaking crews, to confirm timelines, resolve conflicts, and keep jobs on track.
  • Support materials sales and invoicing, ensuring orders are processed, payments are tracked, and customer records are up to date.
  • Handle paperwork and documentation, including job files, site photos, payment records, and customer communication logs.
  • Assist with office tasks such as email management, document organization, and general clerical support.
  • Use Trello and Google Workspace tools to stay organized and track schedules, payments, and operational metrics.
  • Look for ways to improve daily operations, especially around scheduling, communication, and payment processing.
  • Pitch in with other tasks as needed to support the team and keep things running smoothly.

What We're Looking For

  • Experience in scheduling, dispatching, logistics, or operations
  • Strong organizational and time management skills with attention to detail
  • Excellent communication and customer service skills, both written and verbal
  • Ability to handle conflicts and adapt quickly to last-minute changes
  • Bilingual (English/Spanish) required to communicate with both customers and field crews
  • Experience with payment tracking, invoicing, or bookkeeping is a plus
  • Proficiency with general computer skills, project managment softwares like Trello, asana or monday, Google Workspace, and other scheduling or CRM tools
  • Self-motivated with a process improvement mindset
